Duties and Responsibilities
The Grants Management Coordinator is directly accountable to the Executive Director of Grant Development for the following duties and responsibilities:
Under the supervision of the Executive Director of Grant Development, the Grants Management Coordinator is primarily responsible for tracking and monitoring performance, deliverables and spending trends of grants in the post-award stage, whether private, state, federal grants, or subcontracts. This person ensures regulatory compliance with the grant funder and college administrative procedures. The position requires expertise in grant related project management, excellent communication skills, and critical thinking abilities.
The individual filling this position is expected to play a positive leadership role in helping the College effectively manage change.
- Research and review program solicitations and announcements from funding agencies and information sources such as GRANTS.GOV and the Federal Register.
- Assist with writing and submitting grant applications to federal and state agencies as well as private foundations to advance the College mission.
- Leads, coordinates, monitors and tracks compliance efforts and effective grant management processes with project managers, administrators, grants development team and other College staff involved in grant projects.
- Manages all assigned project activities to ensure compliance with grant or contract requirements and on-time achievement of deliverables. Ensures the successful transition of grants from the time of award to closeout, while working collaboratively with various areas and departments within the College.
- Conducts quarterly check in visits and frequent reviews of grant reports and data compliance documents for local, state, and federal agencies, as required and requested, to ensure regulatory compliance, and that all grant recordkeeping and reporting requirements and restrictions are observed.
- Maintains Grant Management SharePoint site as a system for tracking performance, deliverables and budgets, and engages grant managers and other College staff in use of system.
- Coordinates and assists project managers with completion and submission of grant reports and other documents, as necessary.
- Assists with closeout efforts and maintains regulatory file copies of all grants.
- Maintain current knowledge of related College policies and handbooks and funding agency documents and requirements; communicate relevant requirements to project directors and administrators.
- Maintain the College’s Grants Management handbook and website materials to ensure up-to-date information is available for College staff.
- Assists with managing of department budget, including creating requisitions for supplies and services.
- As a part of the college’s risk management tool annual mandatory compliance training is required.

Qualifications
- Bachelor’s degree required from a regionally accredited institution.
- Four years of relevant experience in higher education, federal government, state government, or industry working as a grant writer or grant manager.
- Grant proposal development and management, including starting and closing of projects is highly desirable.
- Experience maintaining highly detailed grant and contract files, including reporting and correspondence with funding sources and project directors.
- Participation in professional development and training programs on grants management and development.
- Knowledge of federal and state rules and regulations related to grant administration.
- Experience in electronic submission, including GRANTS.GOV
- Demonstrated excellence in written and oral communication.
- Strong interpersonal and organizational skills.
