The Film Coordinator is responsible for providing guest experience and guest logistics support for filmmakers, film teams and other guest stakeholders that are invited to participate in the Toronto International Film Festival and related Festival programming initiatives. This position will develop and maintain positive and productive working relationships with these film stakeholders to ensure an exceptional guest and festival experience. Key responsibilities include guest coordination, hospitality coordination, and content and materials collection for Festival films. Overall, this position works closely with relevant teams to ensure exceptional administrative and operational support for internal and external stakeholders.
RESPONSIBILITIES:
Shall include but not be limited to:
- Develop and maintain positive and productive relationships with guests including filmmakers, film teams, other guest stakeholders
- Act as primary film guest contact while also serving as a primary liaison between the guest and internal TIFF teams
- Initiate and establish communications with assigned films and film teams once invited by Festival Programming
- Collect accurate information and required publicity materials for Festival films, to be used in TIFF’s printed and online/digital publications and platforms (i.e. film stills, trailers, synopses, credits, bios, headshots, etc.)
- Track the collection of materials ensuring that tracking documents are always up to date in order to be referenced by other internal teams
- Liaise with films in selection in order to confirm credit information, communicating all changes to internal teams in a timely manner
- Assist in auditing of official Festival publications including press releases, printed/online collateral and all film webpages
- Liaise with internal and external teams to coordinate hospitality offerings including guest travel and accommodation logistics
- Confirm filmmaker, guest and talent attendance at official TIFF events
- Assist in the coordination of official guest/talent participation at screenings, events, press opportunities and other programming activities
- Provide on-site hosting and assistance to guests during the Festival as required
- Organize accreditation and related benefits for guests
- Build detailed guest itineraries as required
- Provides support for other festival guests as directed
- Maintain confidentiality of guest information and integrity of programming
- Provide consistent and accurate reporting to the guest and to internal TIFF departments when required
- Provide a detailed Festival post mortem report
- Other coordination tasks and duties as assigned
RATE OF PAY:
- $23.00 /Hourly
TARGET CONTRACT DATES:
- May 29, 2023-September 20, 2023
MINIMUM REQUIREMENTS:
- Minimum 2 years experience in arts and culture administration
- Understanding of Canadian and international film industries an asset
- Experience working for a film festival or large scale event an asset
- Experience with guest logistics or talent management an asset
- Experience booking hospitality arrangements for individuals or groups an asset
- Strong, effective and professional communicator and strong interpersonal skills
- Excellent phone manner and written communication skills, as well as a knack for relationship building
- Enthusiastic, self-motivated, and open to working in a team environment
- Strong organizational and administrative skills with extreme attention to detail, diligent record-keeping and the ability to effectively prioritize tasks
- Experience extracting detailed information from stakeholders or clients, and disseminating it to others in order to execute on the instructions
- Strong computer and data management skills, including databases, CRMs, project management tools, internet research, Microsoft Office, Google Suite
- Enjoys fast-paced, multi-tasking work environment, with a willingness to adapt to shifting priorities and circumstances
- Demonstrated mature judgment, patience, professionalism and diplomacy
- Ability for discretion and handling confidential information
- Able to handle challenging situations and people with a positive, problem-solving attitude
