Temporary Facilities Manager (Contract)
Job Description
THE ROLE
The Facilities Manager position is a challenging and varied role, which oversees the day-to-day office services and facilities management of our locations as well as supervising the office services staff. The ideal candidate is professional, organized, and able to multi-task in an ever-changing work environment with enthusiasm while providing solutions for greater efficiency. This role ensures the smooth operation of our office environment by providing comprehensive facilities maintenance support, coordinating with external contractors, and maintaining cleanliness and organization across all office areas.
This is an 8-week contract position with possibility to extend.
RESPONSIBILITIES
- Act as first point of contact for office, security, general maintenance and repair enquiries.
- Oversee the maintenance of common areas to ensure cleanliness and safety (e.g. hallways, board rooms and kitchenettes).
- Facilitate all building service issues and liaise with skilled trades for repairs (e.g. HVAC, lighting and washroom issues).
- Set up and tear down of onsite events and functions.
- Identify, recommend and implement cost saving opportunities where possible to improve operation efficiency and service.
- Support various business process improvement initiatives, while collaborating with departments and staff
- Coordinate and manage employee and office movement requirements with other departments (e.g. new hires, furniture moves and departures).
- Acquire quotes and negotiate with suppliers for courier services, facilities and office supplies.
- Order and stock supplies for the office and kitchenettes (e.g. coffee/tea, stationary, paper, etc.).
- Serve as the primary backup for reception duties, including mail sorting, courier packages, and covering breaks and absences.
- Process invoices in purchasing system.
- Participate as a member of the Joint Health & Safety Committee, and support employee compliance with in-office Health & Safety policies and procedures.
- Monitor inventory, organize stock, and order stationery and kitchen supplies
- Other duties as required.
