FACILITIES MAINTENANCE SUPERVISOR
The Facilities Maintenance Supervisor manages all aspects of the day-to-day facilities maintenance across the affiliate. This position will oversee and ensure all buildings and grounds are fully operational while maintaining a safe work environment for staff and patients. In coordination with the Director of Capital Initiatives & Project Management, the Supervisor will assist in developing, implementing, and aligning operational goals to the strategic direction of the Facilities Team.
Essential Functions:
1. Work with third-party vendors to maintain maintenance and service agreements.
2. Oversee and supervise the quality of work for third-party vendors to ensure that all tasks are performed correctly, efficiently, and effectively.
3. Plan, schedule, and supervise maintenance repair work and assist with checking installation and servicing building equipment.
4. Work closely with multiple departments to communicate and enhance the support provided by the maintenance team.
5. Supervises maintenance staff and ticketing system.
6. Recommend and forecast maintenance and facility building equipment needs.
7. Oversee continuous improvement efforts in facilities/maintenance in support of the core operations of Planned Parenthood of Illinois (PPIL).
8. Conduct and document regular facilities inspections.
9. Ensure work is completed on time and to PPIL’s standards.
10. Assess safety and finance goals.
Other Responsibilities:
1. Repair, replace and install facilities maintenance equipment as needed.
2. Perform basic carpentry skills, including fastening cabinets to walls and replacing doors and locks.
3. Repair window frames, tables, chairs, and other miscellaneous equipment.
4. Ensure cleaning services by the third-party vendor are performed on time and to PPIL standards.
5. Maintain records of scheduled maintenance procedures.
6. Maintain and schedule the calendar of maintenance inspections.
7. Lift and move furniture, equipment, supplies, and tools.
8. May obtain estimates for supplies, repair parts, contracted maintenance, and repairs; orders parts as needed.
9. Safely operate all vehicles and other job-related equipment.
10. Ensure proper care in using and maintaining equipment and supplies; promotes continuous improvement of workplace safety and environmental practices.
11. Maintain inventory of all surplus equipment.
12. Review recurring invoices related to service agreements for payment.
13. Implements and promotes the agency’s customer service philosophy and standards in all interactions with clients, co-workers, and the public.
14. Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality customer service.
15. Other duties as assigned.

While performing the duties of this job, the employee is frequently exposed to moving mechanical parts. The employee is occasionally exposed to wet and/or humid conditions; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; outside weather conditions; risk of electrical shock; and vibration. The noise level in the work environment ranges from moderately quiet to extremely noisy, depending on the task being performed.
Work is performed indoors and outdoors, requiring physical effort in maintenance and repair, with frequent lifting of moderate to heavy objects. Physical demands of the position necessitate hearing, talking, handling, and grasping regularly. It may require lifting up to 50 pounds (the ability to carry heavier loads with the assistance of another person). Ability to tolerate minor exposure to building maintenance and repair chemicals, airborne environmental nuisances associated with machine exhaust and open grounds, and machinery noise. The employee should be able to work from ladders and at heights. May also occasionally work in close, restricted locations.
This position requires traveling statewide in an agency vehicle; therefore, a valid Illinois driver’s license and auto insurance in accordance with agency liability standards is needed.
The location for this position is flexible based on the ideal candidate. For downstate candidates, travel may include locations such as: Champaign, Bloomington, Decatur, Peoria, Springfield. If located upstate, travel may include 6 out of 12 of the following locations: Ottawa, Aurora, Flossmoor, Orland Park, Roseland, Englewood, Loop, Near North, Wicker Park, Austin, Rogers Park, or Waukegan.

Status: Full time, exempt from the overtime provisions of the wage and salary administration
policies.
Qualifications:
Education: High School Diploma, GED, completion of trade school or equivalent with special training in one or more trades required.
Experience: Three to five years of experience performing semi-skilled building, mechanical, construction, or grounds maintenance tasks are required. Prior experience with electrical, plumbing, and HVAC is required. Prior experience supervising a team is preferred. Solid software skills – MS Excel, Word, Outlook, Inventory and Ticket Tracking.
Skills and Abilities:
-General knowledge of all trades.
-General understanding of maintenance systems: electrical, plumbing, HVAC, boiler, mechanics, and programmable logic controllers (PLC).
-Ability to operate and maintain equipment and hand and power tools used in building maintenance.
-Knowledge of equipment and supplies used in performing janitorial duties.
-Demonstrated ability to follow and/or interpret oral and written directions, policies, and procedures.
-Knowledge of OSHA safety regulations, work hazards, and safety precautions, including fire & life safety.
-Ability to communicate effectively, both orally and written.
-Ability to read and understand instruction manuals.
-Ability to use computers for reporting, budgeting, and ticketing systems.
-Ability to work with accuracy and attention to detail to meet deadlines.
-Ability to prepare and maintain accurate records and reports. Possession of a valid Illinois driver’s license and safe driving record.
-Ability to travel statewide and in emergencies/critical instances on short notice.
-Demonstrated positive interpersonal skills. Ability to develop and maintain effective working relationships with associates, employees of other departments, and representatives of other organizations.
-Ability to multi-task and prioritize work.
-Ability to handle confidential data.
-Ability to work independently with limited direction.
