Full-Time Executive Assistant, Uro-Oncology Franchise

Job Description

Responsibilities:
This role will support the day-to-day administrative and project management needs of the SVP, Head of Global Uro-Oncology Franchise, and as assigned, provide support to other members of the Uro-Oncology Franchise. This individual must demonstrate a firm understanding of business priorities and function as a respected, active team member who can work effectively across many levels of the organization.  This role demands someone who is proactive and detail oriented, can work independently and with teams, to drive and complete assigned tasks, duties and projects.

  • Provides executive-level administrative support to SVP, Head of Global Uro-Oncology Franchise and the Franchise team.  Anticipating needs (versus just completing assigned tasks) is a critical element of the role
  • Calendar and time management for SVP, Head of Global Uro-Oncology Franchise, which includes scheduling meetings / events and managing calendars, requiring interaction with both internal and external contacts, managing complex executive and team meetings/events.  Ensure meetings are started on time, conference call and Webex information is available to all participants, IT equipment works etc.
  • Travel and expense management, which includes travel coordination, logistics, and expense reporting
  • Interact with external visitors, companies, clients, and vendors in a highly professional manner
  • Management of all departmental budget, invoices, vendors, POs, etc. including coordination with Finance and Legal as required
  • Coordinate and manage CDAs, MSAs and SOWs, No-trade Memos and CIFs including coordination with legal
  • Manage departmental SharePoints, shared folders and Teams environment
  • Attend team meetings, maintain and distribute agenda and minutes, and follow up on action items
  • Develop and maintain files for the department such as phone lists, organizational charts, team bios, templates, department website etc.
  • Organize team events, philosophy days, coordinate conference attendance (including the highly complex JPM and BIO conferences) etc.
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently
  • Contacts management including entering new contacts and keeping contact details updated and current
  • Develop strong and positive relationships with all other functions in the company and relevant global colleagues
  • Demonstrate a sense of urgency, initiative, responsiveness and attention to detail.  Maintain positive attitude, self motivation, take accountability and ownership on ongoing basis
  • Assist in preparing documents and presentation materials utilizing Microsoft Office Suite
  • Office supplies procurement and management as needed
  • Prepare and order deal books and deal tombstones
  • Perform other tasks, duties and projects as assigned

 

Requirements:

  • College degree preferred; High school diploma required
  • 5+ years experience in administrative support, preferably supporting executive level
  • Ability to influence and work well with individuals at different levels of the organization
  • Excellent project management skills and the ability to handle multiple, competing projects simultaneously to meet tight deadlines
  • A keen eye for details
  • Advanced level experience with Microsoft Word Office Suite
  • Excellent calendar and contacts management skills
  • Excellent organizational skills
  • Excellent written and verbal communication silills; ability to communicate effectively across the organization
  • Ability to influence and interact effectively with all levels of the organization
  • Demonstrated ability to maintain confidentiality about sensitive matters
