Clark College is currently accepting applications for a full-time, exempt Executive Assistant to the Vice President of Human Resources to perform administrative and secretarial duties in support of the vice president and the HR office.

Job Duties and Responsibilities:
• Provide comprehensive administrative, secretarial, coordination, and public relations support with a high level of performance to the Vice President of Human Resources and Office of Human Resources.
• Lead and manage Human Resources front desk and file room to include coordination and providing of coverage as needed.
• Maintain Vice President’s calendar, establishing priorities and ensuring that official obligations are met.
• Make travel arrangements for the Vice President of Human Resources and Compliance.
• Initiate and compose correspondence, acknowledgements, notifications, and reports, etc., for the Vice President and for the Human Resources department.
• Monitor compliance with College policy and applicable laws and regulations regarding budget and travel.
• Manage the department budget, credit card, and unemployment claims processing.
• Maintain knowledge of College and state policies and procedures, specifically those related to Human Resources and provide general information and clarification of such to deans, faculty, administrative assistants, staff, students, and the public.
• Manage conversion of paper documents to electronic storage system using ImageNow scanning software.
• Provide support for Collective Bargaining and Labor Relations including taking minutes at bargaining sessions.
• Provide oversight for setup, organization and maintenance of all confidential employee and benefits files both electronically and manually.
• Provide oversight for maintenance and purging of personnel/archival files and associated forms according to the retention schedule.
• Supervise employees as assigned in areas of responsibility.
• May assist in determining eligibility and maintaining retirement records for Clark College employees.
• Surplus and Megamation designee for Human Resources office.
• Administrative planning for service awards, opening day, and retirement celebration events.
• Perform other duties as assigned.

Minimum Qualifications:
• Bachelor’s degree in Human Resources, Business, Communications, English, or closely related field from an accredited college or university OR equivalent work experience to gain expertise supporting a senior-level executive and/or department.
• Two years’ progressively responsible experience in office/clerical, secretarial, or general administrative work.
• Demonstrated commitment to contribute to an equitable organization by addressing institutional barriers, policies, procedures through an equity lens.
• Ability to successfully lead and work within culturally diverse teams.
• Ability to quickly and accurately glean information and exercise reasonable judgement to determine what issues need to be escalated, redirected, or addressed through alternate methods.
• Ability to maintain strict confidentiality and safeguard sensitive information.
• Demonstrated expertise managing competing projects while meeting deadlines.
• Excellent verbal and written communication skills.
• Powerful sense of empathy to lead difficult conversations, respectfully consider diverse perspectives, and identify principled courses of action.
• Ability to work well with people of all ages from academically, culturally, and socioeconomically diverse backgrounds.

Preferred Qualifications:
• Experience working with PeopleSoft or similar Human Resource Information System (HRIS) or Enterprise Resource Planning Tool.
• Experience working with Procure+ or other budget or procurement tool.
• Experience working in HR in higher education.
• Bilingual or multilingual.
