What we’re looking for:

We are seeking a rockstar executive assistant to our Founder & CEO. The individual will handle an array of tasks, consisting of proactive calendar management, travel arrangements, and running logistics for our quarterly board and executive onsite meetings.

A fantastic opportunity to work directly with the company Founder, the CEO’s Assistant will operate with the utmost discretion while working with highly confidential information, ensuring impeccable attention to detail, organizational skills and thoroughness. The ideal candidate will have a bias toward action, a sense of urgency and excellent problem solving abilities.

In regular communication with both internal Arcadia executives as well as external stakeholders such as our Board of Directors, the CEO’s Assistant will represent the CEO and Arcadia team with professionalism, a positive spirit and a high-level of service.

Arcadia is headquartered in Washington DC, and open to fully remote candidates.

What you’ll do:

  • Daily review, coordination and anticipation of the work needs of assigned executive leaders. Identify items that require escalation and keep executives well-informed
  • Perform complex calendar management (via Google Calendar), scheduling/confirming, organizing, reviewing, while minimizing conflicts and maximizing productivity
  • Work closely with our Chief of Staff to support our Board of Directors meeting schedules
  • Act as a strategic administrative partner to the CEO
  • Plan and coordinate arrangements for business travel, meals & entertainment; compile and submit receipts for monthly expense reports
  • Screen & tactfully respond to emails from outside and within the organization, if requested
  • Coordinate domestic and international travel arrangements; prepare detailed travel itineraries inclusive of flights, visas, hotels, meeting agendas, etc.
  • Assist the Workplace team with Company events both internal and external as needed
  • Assist various teams with different administrative tasks and projects as they arise
  • Conduct cursory research on topics as requested
  • Occasionally assist with personal tasks and scheduling as requested
  • Be ready to take on the unexpected and have fun doing it

Must-haves:

  • Ability to work ET 9-5pm hours
  • Impeccable English language skills and grammer
  • Proactive decision making ability
  • A can-do attitude; no job too big or too small
  • A self starter and creative problem solver
  • A bias towards action and speed
  • An eagle eye for detail
  • Significant experience working in Gsuite required
  • Experience managing highly sensitive information with discretion and professionalism
  • Strong ability to work well under pressure in a fast-paced environment with a positive attitude

Target Annual Compensation Range for this role will be $70,000 to $110,000. There will also be a competitive benefits and equity (bonus if applicable) component to the package. The exact compensation at which this job is filled will be determined by the skills, experience, and location of the qualified candidate.
