Full-Time Executive Assistant to Co-Founders
Job Description
Responsibilities
Manage complex calendars for the co-founders, ensuring timing and logistical details are in place
Responding to emails and document requests on behalf of co-founders, assistance with managing inbox
Draft slides, meeting notes and documents for co-founders
Plan and coordinate travel arrangements
Plan and coordinate team meetings, internal and external events, off-sites, and all logistical and budget requirements related to the above
Facilitate ongoing collaboration and communication across functional teams
Reconcile business expenses in a timely manner and continuously track against budget
File and records management
Manage invoicing/bill payments
Build and manage company contact database and ensure consistent communication and engagement
Provide back-up support to internal functional teams, or other administrative tasks for the company
Flexibility to take on special projects/initiatives
Prioritize and manage multiple projects simultaneously, proactively identifying gaps and inefficiencies while working to smooth the seams and keep the team on track.
Maintain confidentiality of all sensitive and confidential issues
Requirements
3+ years of experience supporting C-level executives in an administrative capacity
Proven ability to work in a fast-paced environment with efficiency and strong attention to details
Ability to work independently with minimal supervision
Strong organizational and prioritization skills
Multi-tasking and budget management
Exceptional communication and interpersonal skills
Proactive and continuous improvement mind-set
Experience with Google and MS Office productivity suites
