Job Description

Permanent Job: Executive Assistant to CEO  / Cynorthwy-ydd Gweithredol

Salary:  £28,000

Hours of work: 35 hours per week (full time) with flexible working options such as a condensed 4 day working week. Full time hours are preferred but we’d consider a minimum of 28 hours per week if you’d prefer a part time working option.

Place of work: Home / Head Office (Cardiff City Centre)

You’ll be required to attend meetings and be present in person at our Cardiff office on a regular basis. The role requires candidates to be within an easy commuting distance of Cardiff rather than working fully remote.

Flexibility

Although we love to see our people in the office, we don’t set regular and weekly office days as we know how important flexibility is to all of us. And the way we work our operating hours (7am-9pm) mean you can easily do the things that matter around work such as school pick up and drop offs, go to medical appointments or fit in hobbies or wellness activities around our 10am-3pm core hours and key work activities.

Our Board and Committee meetings normally start at 5pm.

Our Chief Executive Officer, Judi Rhys MBE is leading ’US’ on our mission to give hope, help and a voice to anyone affected by cancer, in and around the community. Recruiting an Executive Assistant to support Judi at the heart of our operations opens up an exciting and unique opportunity for you to be a key player for ‘US’ to achieve our vision to help people affected by cancer live their best lives. As such, you’ll not only assist Judi but our Leadership Team as required and interact regularly with our Chair and Board of Trustees.

Our strategic work is high profile, involves many stakeholders and is important when it comes to cancer and making a difference to people affected by it. So, it sees Judi interacting with a raft of high-level decision makers, change-makers, influencers and representatives from Welsh government, the media and press, our patrons such as HRH Princess Royal, the health arena and business leaders so in this role you’ll need to be confident in communicating with a wide range of people.

Joining Wales’ leading cancer charity and taking up the reins in this position means you do need to come into this role already having operated at a similar level already. You’ll know what it takes to support a CEO in this capacity and have a wider organisational scope of approaching work and processes.

You’ll be involved in coordinating things such as our complaints process, diary management and setting up meetings and coordinating CEO and Board events along with any related paperwork.

So, we could be a good match if your CV shows that you have:

  • Good skills and experience as a seasoned Executive Assistant supporting at CEO and Director level
  • Third Sector experience is not essential but would be a bonus to demonstrate experience working with and supporting Trustee Boards and other volunteers
  • Fantastic note and minute-taking skills and someone who can compile and present Board papers
  • Excellent accuracy and attention to detail with a logical and common sense approach
  • Practical experience of thinking on your feet, working proactively and on your own initiative to come up with solutions
  • A way of working that follows processes and recognises the importance of following systems but also coming up with ideas and streamlined operating practises that promote efficiency and cost-effectiveness.
  • A style of working with others that inspires confidence, leads by example and demonstrates a collaborative way of working
  • The ability to train or lead people when it comes to areas of work you support
  • Great working experience using Microsoft Office Word, Excel, PowerPoint, databases
  • Ability to handle confidential, sensitive data
  • The ability to collect, collate and present a variety of information in written form
