EXECUTIVE ASSISTANT / PROJECT COORDINATOR

What we are looking for:

We are seeking an executive assistant with strong project management abilities that will support the organization’s vision and the initiatives of the Chief Executive Officer. The individual will plan and oversee projects within the organization, from the initial ideation through to completion. In addition, the candidate will coordinate people, processes and work cross-functionally to deliver projects on time and with the desired outcomes aligned to objectives. 

Job Type: Permanent – full-time position, 40+ hours a week. Immediate start!

 What you’ll do:

  • Serve as a liaison between the Chief Executive Officer, staff, consultants, affiliates, and third-party vendors to execute multiple projects while establishing good business relationships by providing courteous and efficient assistance to clients, vendors, and affiliates.
  • Develop and manage systems for collaboration across all departments to improve organizational workflow within and across departments, ensuring consistency and transparency.
  • Develop, track progress and execute detailed project plans using high caliber PowerPoint presentations, functioning excel sheets, and relevant project management tools. 
  • Ensure that timely project delivery is within the scope and budget
  • Run organizational meetings and events, including taking notes, tracking actions, and facilitating next steps.
  • Calendar management: taking and distributing minutes
  • Adhere to standard best practices, document management, electronic file management, and uphold confidentiality for regulatory compliance and risk management framework
  • Assists in ad-hoc reports special projects as needed
  • Manage information systems and work with IT as needed to maintain operations, including hardware, software, desktop support, internal systems

Qualifications:

  • Baccalaureate degree 
  • 3-5 years experience supporting c-suite member(s)
  • Proficiency in Microsoft Word, Excel, Outlook and PowerPoint, Airtable 
  • Excellent written and oral communication 
  • Demonstrated track record of project delivery  
  • Experience working in Mortgage or Real Estate office, a plus

Pay: $50k per year

COVID-19 Considerations:

All employees are required to wear a mask and take a daily temperature check. In addition, air purifiers and daily office sanitization protocols are in place to reduce the spread of COVID-19.
