Full-Time Executive Assistant, Global Development Department

Job Description

This position can only be based in the WRI US office (DC). Existing US work authorization is required at the time of application submission for the position. WRI is unable to sponsor work authorization for this position.
About the Program: 

The Global Development Department (GDD) raises all unrestricted and core institutional funding and coordinates program fundraising across WRI seven Global programs (Cities, Climate, Energy, Food, Forests, Water, Ocean), four Centers of Excellence (Business, Economics, Finance, Equity), and 12 International Offices. The GDD is organized into four teams grouped by fundraising sector: corporate, government (bi- and multi-lateral), foundation, and individual philanthropy. These sector teams manage strategy and cultivation (for a select number of donors that are centrally managed by Global Development) or provide support to Programs, Centers, and International Offices with fundraising, funder coordination, relationship management and stewardship, prospect research, strategy development, events, and donor communications. WRI’s Development fundraising model is decentralized, meaning that fundraising is undertaken and managed both in the Global Development department and within WRI’s Programs, Centers, and International Offices.


Job Highlight: 

You will provide administrative support to the Executive Vice President for Governance & Development and support the Global Development Department’s communications and institutional engagement efforts. You will ensure the most effective use of the Executive Vice President for Institutional Governance & Development’s time by overseeing her email, schedule, and travel – this will include tracking priorities, incoming requests, deadlines, and longer-term planning. Additional programmatic and administrative responsibilities include logging and tracking communications in Salesforce, preparation of briefing materials, and writing.

You will be supported by the Core Development Teamof operations staff housed in Global Development that manage or support strategy and work planning, department finances, reporting, communications, gift administration, cross-sectoral policies, procedures, and processes, and partner with WRI Global’s Core Functions on behalf of the larger Global Development Department.

You will report to the Development Operations Manager.

This position will begin as remote due to Covid-19 but will require relocation to Washington, DC.

What you will do:

Administrative Support (75% time)  

  • Provide administrative support for the Executive Vice President for Governance and Development, including managing email inbox and calendar, drafting emails, logging donor and partner touchpoints in Salesforce, scheduling meetings, arranging travel, preparing PowerPoint presentations, expense reports, presentation talking points and other tasks.
  • Manage team-wide leveraging of WRI leadership travel for donor visits and high-visibility events, including coordinating schedules, preparing visit itineraries, and coordinating background document preparation
  • Manage logistics, coordinate planning, and provide on-site support for team meetings, Development team events, and retreats
  • Support team-wide contact list management, including President’s List, suppression lists, and invitation lists.
  • Provide surge capacity within Development team for Special Projects and initiatives as needed

 

Internal and External Communications Support (25% time)

  • Guide Development efforts to promote WRI events, communications, and knowledge products for donor stewardship and cultivation opportunities and share with Development team for use in donor outreach, notably WRI Stories to Watch
  • Coordinate joint Development/Communications Working Group
  • Coordinate team inputs and develop content for internal communications vehicles, such as the WRInsider (WRI’s internal newsletter)

 

What you will need:

  • Education: You have a completed Bachelor’s degree in a related field.
  • Experience: You have a minimum of 3 years full-time relevant work experience in high-level administrative support in a non-profit organization or the private sector
  • Experience at a complex organization and/or in a fundraising department
  • You have experience with applying high-level writing and presentation skills
  • You have experience with Microsoft Office programs and a CRM database
  • Languages: You have verbal and written proficiency in English
  • Requirements: Existing work authorization is required where this position is based. WRI is unable to authorize visa work authorization.

Potential Salary:

$53,000 – $68,000. Salary is commensurate with experience and other compensable factors.
