Reporting directly to the Vice President of the Office of the Arts/Executive Director of ArtsEmerson, the Executive Administrator provides executive support in a one-on-one working relationship. The Executive Administrator serves as the primary point of contact for internal and external constituencies on all matters pertaining to the VP’s office and supports the Office of the Arts through general office management. The Executive Administrator also serves as a liaison to the Office of the Arts’ team and the wider College community, organizes and coordinates VP communications and external relations efforts; and oversees special projects. The Executive Administrator must be creative and enjoy working within a fast-paced environment that is mission-driven, values-centered and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple competing priorities. The Executive Administrator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Under limited direction, the Executive Administrator will complete a broad variety of administrative tasks that facilitate the VP’s ability to effectively lead the office, including but not limited to:
Managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans and agendas, and compiling documents for travel-related engagements.
Works closely and effectively with the VP to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Keeps VP abreast of important internal departmental updates and clearly communicates them in a timely fashion.
Researches, prioritizes and follows up on incoming issues and concerns addressed to the VP, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Develops and coordinates the rollout of internal and external policies and procedures; makes recommendations for process improvement and efficiencies.
Manages competing priorities handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with time sensitivity.
Provides leadership to build positive and collaborative relationships crucial to the success of the Office, and manages a variety of special projects for the VP.
Your Other Responsibilities:
Provide leadership to all levels of the organization to meet their current and future information needs; answer inquiries and provide guidance on inquiries made to the department.
Provide event management support as requested.
Serves as the office project coordinator on a variety of projects and strategic initiatives.
Oversees general office management functions, including procurement of office supplies, liaising with Human Resources, IT as well as other internal/external stakeholders.
Other duties as assigned.
Your Qualifications:
Highly resourceful team-player, with the ability to also be extremely effective independently; strong ability to execute work broadly with a diversity, equity, and inclusion lens.
Significant executive support experience, including supporting senior leaders. Nonprofit board experience is highly preferred.
High degree of professionalism in dealing with diverse groups of people, including, senior executives, staff, faculty, artists, community leaders, donors, community partners and Trustees.
Strong verbal and written communication skills.
Able to maintain a high level of integrity and discretion in handling confidential information.
Make appropriate, informed decisions regarding priorities and available time.
Ability to respond with appropriate levels of urgency to situations and events that require quick response or turnaround.
Expert proficiency with Microsoft Office and desktop publishing software; technical proficiency and problem-solving skills related to IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications).
5-7 years of administrative support for a high-level executive.
Bachelor’s degree or equivalent experience.
You’ll be Preferred with:
Strong work tenure: 2 to 5 years of experience supporting senior leaders, and with project work preferably in a non-profit organization.
Experience and interest in internal and external communications, partnership development, and fundraising.
Experience working in an arts organization

Hiring Range: $73,550.00 – $77,100.00
