POSITION PROFILE: EXECUTIVE ADMIN & PROJECT COORDINATOR
kpCompanies is seeking a disciplined, self-starter administrator, with attention to detail to join our team. This position requires strong verbal/written communication and organizational skills for a candidate to be successful. The Executive Admin + Project Coordinator will provide executive level support to the CEO, acting as a liaison to internal and external audiences, and managing specific projects and plans of work. This role will also work closely with our Business Development, Operations and Service Delivery to make our processes and procedures more efficient.

kpCompanies is currently supporting a remote work environment for this role; however, we also have office spaces throughout the Twin Cities Metro area through our Coworking office to support a flexible hybrid work option if that’s your thing.
REQUIREMENTS
- Responsible for scheduling and managing the CEO’s calendar including prioritizing, resolving related conflicts, and competing demands, proactively scheduling meetings with internal and external individuals.
• Provides support for CEO’ s team meetings including setting agendas, taking notes and/or briefing notes, handling conference registrations, and all required travel scheduling.
• Monitor and report on company’s performance indicators.
• Manage sales tracking tools and report on essential information.
• Compile a daily list of sales leads, and guides to the CEO and sales team.
• Follow-up on sales leads at the CEO’s direction.
• Managing client accounts, following up with clients for administrative purposes, and invoicing clients as required.
• Assist with cross departmental tasks/projects and provide support to other team members of the team as needed.
• Anticipate needs and prioritize incoming issues, requests, and inquiries, and complete a variety of administrative duties including those of a sensitive or confidential nature. Consult with the CEO in determining the appropriate course of action, referral, or response.
• Act as an information resource for the organization for policies and Administration procedures.
• Facilitate clear communication and maintain credibility, trust, and support between the CEO and internal staff, and with external clients and partners.
• Participate in staff meetings, learning opportunities and demonstrate interest in continuous development.
• Plan and coordinate corporate events as needed.
• Help with content development for social media posting for CEO and the company in general.
A successful Administrator & Project Coordinator at kpC will have the following:
- Associates degree with 2-4+ years of executive level administrative support or equivalent experience.
• Experience with completing basic accounting tasks such as expense reporting, and invoice processing.
• Excellent organizational skills, ability to manage multiple activities with attention to detail and work independently.
• Ability to proactively anticipate needs, make sound recommendations and propose alternative solutions, and take action to address issues and resolve problems.
• Ability to remain calm under pressure, maintain discretion in working with confidential information, and demonstrate adaptability during times of change or ambiguity.
• Willingness to learn accounting and other digital software.
• High-level proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Zoom.
• Platforms used: LinkedIn, Facebook, Twitter, Instagram, TikTok, YouTube
• Superior oral and written communication skills
