Temporary Events and Engagement Manager (Maternity Cover)

Job Description

Would you like to join a small, purposeful organisation that uses digital tools to enable citizens to engage with democracy and hold powerful governing institutions to account? We’re looking for an Events and Engagement Manager to plan and deliver mySociety’s programme of in-person, online and hybrid external events and internal meet-ups, ensuring the target audience is engaged and that each event is marketed appropriately.

You will be responsible for delivering a high quality and impactful programme of activity to meet the strategic aims of our TICTeC Labs Project, a series of online activities and events in which international participants openly and honestly examine how digital civic interventions are shaping democratic societies. You’ll be organising other high quality, impactful and well-attended external events that support our organisational priorities and strategic goals, notably in our climate programme, which aims to convene a community of interest at the intersection of climate action and civic technology. You’ll also be responsible for organising productive, effective and enjoyable internal team meetings.

This is a full time fixed-term maternity cover role and is fully homeworking. You will have the opportunity to meet your colleagues face to face at our annual retreat and team building days.

What does the role involve?

TICTeC Labs – online event programme management

  • Responsible for programme management of this online event and meeting series including end to end project and content management, budget management, and administration
  • Working closely with the TICTeC Labs strategic lead to set the agendas, distil key themes, and review subgrant applications
  • Ensuring contractors and sub grantees deliver value for money activity supporting the strategic aims of the programme
  • Working closely with the Marketing & Communications Manager to produce engaging and impactful promotion and communications
  • Working closely with the Fundraising Manager to deliver impact reporting and meet the needs of the funder

Event planning

  • Supporting the Senior Management Team and Programme Leads to plan out an annual schedule of external events, identifying suitable dates and activities, and coordinate and deliver strategic, high quality online, in person, or hybrid external events to meet programme aims, including working with Fundraising Manager and senior colleagues to secure financial support if appropriate
  • Responsible for project management, coordination and delivery of internal annual retreat, quarterly staff meetings, smaller ad-hoc team meetings and some staff wellbeing initiatives

Event delivery

  • Manage an agreed budget for each event with a focus on delivering value for money activity
  • Implement a booking system for attendees, and liaise with them to establish travel, dietary and other requirements
  • Negotiate with venues, suppliers etc to achieve best value pricing, visiting locations as required to scope suitability
  • Manage and coordinate all event logistics (e.g. catering, travel, media, speakers, health and safety)
  • On the day of the event, manage a team of staff and contractors for event delivery, and be available to troubleshoot any issues
  • Review and evaluate post-event against event goals and objectives, ensuring mySociety learns and embeds learning from the experience

Event promotion

  • Working with the Marketing & Communications Manager to publicise and promote events and maintain and update website content about the events
  • Producing branded materials for the event using a range of software independently and in conjunction with the Design team

Requirements

We think this position would suit you best if you have some or all of the following:

  • A strong background in the management and delivery of online and in person events and projects in line with strategic goals and objectives
  • Creative and effective at planning, including risk identification and management
  • Organised, with a good eye for detail
  • A confident and honest communicator
  • Able to solve issues quickly and effectively
  • Able to continuously learn and improve
  • Experience in liaising with multinational stakeholders
  • Experience with WordPress desirable

Benefits

This is a 12 month contract with a salary in the range of £40,000 to £45,000 per year, plus pension (3% employer contribution, 5% employee).

You must be based in the UK and you need to have the right to work in this country (sorry, but we can’t offer help with visas or relocation expenses).
