The role: The Event Specialist is an integral part of our internal sales team.  The Event Specialist will be responsible for producing, managing, and supporting our company events. The highly organized team member will handle our event calendar, coordinate event marketing and deliverables, scheduling of internal attendee support, event logistics and support, invoice/billing management, and reporting. Events include attendance at tradeshows and conferences, company events and sponsorships, webinar and podcast appearances, and internal customer conferences.

 

What you will do:

  • Partner with the Marketing team and stakeholders to define strategy and event requirements. Acting as the key liaison to vendors for Groups360 events.
  • Guide the planning and execution of Groups360’s annual customer events.
  • Participate in the scheduling and production of tradeshows and virtual events.
  • Partner with internal stakeholders in the planning and execution of other Groups360 events as required.
  • Manage event logistics: venue communications and planning, booth coordination and delivery, marketing plans and deliverables.
  • Promote events through marketing channels such as social media, email and advertising.
  • Participate in trade shows and events.
  • Gather and ship marketing and promotional materials for events.
  • Provide overall administrative support to the Sales and Customer Success Teams.
  • Create and manage event calendars, schedules and staffing plans for event support.
  • Track and manage event activities, budgets and invoices.
  • Develop reporting, event summaries and pre-event announcements.
  • Conduct post-event evaluations to determine how future events could be improved.

 

Education and experience:

  • Bachelor’s degree preferred or equivalent work experience.
  • 2 – 4 years’ experience as an Event Coordinator, Conference Coordinator or similar role.
  • Excellent organization skills and experience with project management.
  • Ability to manage multiple projects and work assignments.
  • Excellent customer service skills in addition to an attitude for quality service delivery.
  • Must be a self-starter and able to independently move projects forward, prioritize tasks and meet deadlines.
  • Scheduled travel required.
  • Other qualifications as required.

 

Additional eligibility qualifications:

  • Excellent verbal, written and group communication and presentation skills; ability to utilize communication skills to effectively influence across functions and business units as well as across different leadership levels.
  • Excellent organizational & analytical skills and ability to multi-task in a fast-paced environment.
  • Results-driven and execution-oriented personality, ready to take ownership and get results.
  • Strong empathy for customers and a passion for revenue and growth.
  • Proficiency in Microsoft Office 365 Suite: Word, Excel, PowerPoint, Project, SharePoint.

 

Core Business Hours: 8:00 a.m. to 5:00 p.m. M-F; these hours may vary depending upon your position and work requirements.

 

Status: Full-time, Exempt

 

Location: Brentwood, TN
