The Event Planning Associate will clarify and focus on our Fund Development needs to support our strategic plan.
GENERAL SUMMARY
The Event Planning Associate (EPA) at 2Life Communities (2Life) is an integral part of the Fund Development (FD) team and requires a highly organized, creative, detail-oriented, and motivated person to support the event committee and senior FD team. This position manages events including, but not limited to, the annual fundraising event, house parties, and outreach/cultivation events and supports events that bridge FD and other 2Life departments (such as Real Estate). Reporting to the Director of Development, the EPA will work as part of the FD team to broaden the support base through building relationships, raising funds, and ensuring that all events are of the highest standard.
The EPA will anticipate project needs, discern work priorities, meet deadlines, and be an enthusiastic professional capable of building solid and positive relationships. The EPA will also have a passion for unique event management and provide outstanding communication to the FD team, 2Life staff, vendors, event attendees, and volunteers.
ESSENTIAL JOB FUNCTIONS*
- Implement and manage all fundraising-related events.
- Develop and maintain an event calendar for the fiscal year.
- Understand strategic and fundraising goals for events, and manage budgets, check requests, invoicing, and reporting.
- Organize event planning meetings with lay committees, internal teams, and outside vendors.
- Manage the production of collateral for events in partnership with the Communications team.
- Coordinate guest speakers and entertainment, review speeches/scripts, organize rehearsals.
- Support the creation of event sponsorship packages and work with other FD team members to secure sponsorships.
- Manage all post-event follow-up, including emails, social media, and other communications to attendees.
- Create and update event tracking reports.
- Maintain the confidentiality and security of all donor data consistent with Massachusetts Data Security Law.
PREPARATION, KNOWLEDGE, SKILLS & ABILITIES
- 3+ years’ prior experience coordinating special events
- Excellent verbal and written communication skills
- Highly organized with multi-tasking abilities.
- Excels in team setting
- Proven success with budget management and strong negotiation skills
- Ability to accomplish projects independently
- Must possess excellent interpersonal skills and a high level of professionalism
- Experience with hiring and managing vendors for event production preferred
- The EPA has strong computer skills in Microsoft Office, Google WorkSpace, and social media platforms
- Experience with Raiser’s Edge and Salesforce is a plus
