Position Summary
The Enrollment Navigator is responsible for creating pathways for incarcerated students in educational programs as well as referring and supporting those who are seeking employment/education services upon release into the community. The Enrollment Navigator will assist corrections education students in identifying a clear educational pathway and support the students through the completion of their educational credentials. This position has overall administrative responsibility for the planning and management of admissions, registration, records, referrals, degree audit, transcripts, credit evaluation, and prior learning assessment for students on TCC’s correctional campuses at the Washington Corrections Center for Women (WCCW in Gig Harbor and the Mission Creek Corrections Center for Women (MCCCW) in Belfair. The Enrollment Navigator position reports to the Dean of Corrections Education.

This position is designed to fulfill in part a contract awarded to Tacoma Community College (TCC) by the Washington State Board for Community and Technical Colleges (SBCTC) to operate a correctional education program in accordance with an interagency agreement with the Department of Corrections (DOC). TCC and its employees working in corrections education are expected to follow all DOC policies, training, security requirements, and institutional mandates. Essential Functions

  • Promote and present information on student education programs and pathways through student orientations.  Meet with students to discuss educational pathways.
  • Oversee all aspects of the registration process, including admissions, assessment/testing, credentials evaluation, prior learning assessment, and incoming/outgoing transcripts.
  • Manage College ctcLink systems including registrations, degree audit (Academic Advisement Report), grading, drops, beginning and end of quarter processes. Collaborate with the instructional programs to troubleshoot course construction issues.
  • Manage the evaluation and posting of accepted credits transferred and the evaluation of credits for credentials, and ensure compliance in the awarding of degrees, diplomas, and certificates.
  • Manage student records in OMNI (DOC’s management system) including building and filling classes, managing the RPM/Callout system, posting certificate/degree completions, and managing waitlists.
  • Work with the Program Manager, Counselors, and Navigators to recruit students and build program referrals.
  • Coordinate activities with the Registrar’s office on the TCC main campus to support program alignment, troubleshoot concerns, maintain accurate records, and resolve issues.
  •  Assure the integrity, security, and confidentiality of student records in compliance with federal and state laws, including FERPA.
  • Work with marketing staff to ensure timely, accurate production of the yearly college catalog edits.
  • Participate in Strategic Enrollment Management and Guided Pathways initiatives.
  • Generate reports from the student management system (ctcLink) for enrollment reporting and forecasting.
  • Manage the collection, analysis, and dissemination of year-to-date, monthly, and quarterly enrollment data.
  • Ensure accuracy of all student and course information reporting to the State.
  • Review and enforce TCC academic policies as described in the catalog, including resolution of complaints related to those policies.
  • Participate in professional development activities as needed.
  • Serve as point of contact for faculty, staff, and students to resolve issues.
  • Manage the open and close dates for input of grades into ctcLink.
  • May serve on councils and committees as requested or assigned.
  • Represent the college at appropriate state and local meetings
  • Support and advance the College’s strategic plan.
  • Perform other duties as assigned by the Dean of Corrections Education and Vice President for Student Affairs.

Minimum Qualifications 

  • Associate degree from an accredited college or university in education or related field.
  • Two years of professional-level experience in Enrollment services, student support services or other related work experience.
    OR a combination of education and/or experience.
  • Strong computer skills including Microsoft Word, Excel, PowerPoint or other business management software.

Preferred Qualifications 

  • Bachelor’s degree in education or related field.
  • Experience in a community college environment.
  • Experience working in a correctional environment.
  • Lived experience.
  • Knowledge of PeopleSoft/ctcLink system.

Conditions of Employment

  • Successful completion of a criminal history background check prior to employment.
  • Attend and successfully complete the Department of Corrections trainings (NHO/CORE).

  • Ability and willingness to work an alternate schedule, as needed.

This is a temporary exempt professional full-time position. Continuation of this position is contingent on funding. The salary range for this position is $59,238 - $61,000. The salary will be prorated to reflect the actual number of contract days worked in the remainder of the fiscal year.  Work schedule is Monday through Friday, 8:00am to 5:00pm.
