Full-Time Document Production Specialist

We have a remarkable opportunity for an experienced word processing specialist who enjoys collaboration in a fully remote team.  The Document Production Specialist is responsible for providing exceptional document management, information processing and word processing services throughout the firm to include attorneys, paralegals, and other administrative staff. Because this is a fully remote position, to be successful the candidate must be self-motivated and able to work under tight deadlines. The position requires prior professional experience with significant drafting, word processing editing, proofreading and formatting responsibilities.

 

Key Responsibilities

  • Utilizes the firm’s workflow software program to create or duplicate documents from handwritten, typed or scanned drafts; revises and inputs edits from hard copy and/or digital dictation; proofreads end product.
  • Customizes page layouts, formats and inserts pictures, tables, spreadsheets and video into documents and presentations.
  • Understands and utilizes advanced Word functions such as numbering styles, Table of Authorities, Table of Contents, tracks changes, footnote/endnotes, comments, redlines, cross-references, complex editing, tables, mail merges, sorting, etc.
  • Creates and edits Microsoft Excel spreadsheets to summarize data. Performs data entry in various databases and enters data into Excel spreadsheets and tables.
  • Creates and edits Microsoft PowerPoint presentations to include embedding multimedia elements, such as audio and video.
  • Troubleshoots and provides minor spot-training for assistants and/or attorneys on formatting and other document-related issues or refers assistants and/or attorneys to Training Department for more complex issues.

 

Experience and Education Qualifications

  • Ability to draft legal documents, correspondence and reports at a speed of 65-70 wpm.
  • Advanced skills in MS Office (Word, Excel, Outlook, PowerPoint) and in converting PDF documents to Word.
  • Minimum three (3) years of word processing experience required, preferably in legal environment.
  • High School Diploma or equivalent required; an Associate degree preferred.
  • Experience utilizing technologies to provide remote training is preferred.

 

Compensation

For applicants that meet the experience requirements for the role and are physically based in New York City, the expected salary range is $60,000 – $85,000 annually upon commencement of employment.  Starting salary will be determined on an individualized basis with consideration to prior experience and additional qualifications.  This is in addition to a comprehensive benefit package offered by the Firm.
