ABOUT THE ORGANIZATIONS
Coworker.org, a fiscally sponsored 501(c)(3), and The Solidarity Fund, an independent 501(c)(4), are coordinated sister organizations that exist to help workers build power and have a voice in their workplaces. The person holding this position will primarily support the operations of The Coworker Solidarity Fund, but also contribute to the administration and operations of Coworker.org.
About The Solidarity Fund
The Solidarity Fund provides mentorship and financial assistance for workers engaged in workplace activism and organizing, especially those facing retaliation from their employers, with the goal of supporting them to make improvements and build power inside their companies and industries. The Solidarity Fund currently hosts two worker-led mutual aid funds – one for workers in the tech sector (including delivery, logistics, rideshare, etc) and one for Starbucks workers. Our Fund’s stipends help workers who are organizing for safer, more just, and more equitable jobs and workplaces.

ABOUT THE OPPORTUNITY
The Solidarity Fund and Coworker.org seek an experienced operations and finance professional to serve as the Director of Operations and Administration reporting to the Executive Director. The position will help to implement, oversee, coordinate, and organize the organizations’ financial and operational systems. This position will contribute to oversee and manage all operational, administrative, and financial systems including budget, accounting, information technology, human resources, development, and communications with staff on rollout of relevant policies and procedures, ensuring that the organization continues to center its values in all aspects of the work. This role offers critical support for the Solidarity Fund’s operations, including ensuring the correct and timely processing of worker stipends. The Senior Manager of Culture, Operations and Development of Coworker.org will report to this role.
WHAT YOU WILL DO IN YOUR ROLE
Financial Management and Fund Development Support:
- Support the finance function of the organizations including:
- Support budget development and management for both organizations
- Support the processing of invoices for both organizations
- Supports monthly review of financial reports for both organizations
- Work with accountants, leadership, and fiscal sponsor for the c3, to help prepare donor financial reports
- Support the day-to-day relationship management with our fiscal sponsor and with external consultants by processing contracts, invoices, payments, etc.
- Manage internal systems, including project management and online systems like bil.com, Monday, and AirTable
- Support the engagement of fundraising consultants, coordinate data gathering for fundraising proposals and reports,
- Manage the administrative processes to accept and report on grants.
- Support the tracking and managing of donor grants
- Support development of funder reports and funder proposals
- Provide support to the fundraising teams whenever necessary
General Operations:
- Manage day to day relationship with Coworker.org fiscal sponsor, New Venture Fund
- Oversee and manage the resource sharing agreement between the two organizations
- Manage IT consultants to ensure that all organizational processes can operate successfully, and that all staff have the tools, resources, and equipment to work effectively and the technological equipment needs of the office
- Oversee the process through which partner agreements and other contracts are drafted, created, and paid for, for The Solidarity Fund, and manage contracts for Coworker.org in partnership with its fiscal sponsor, New Venture Fund
- Support the development, improvement, and standardization of organizational policies and procedures and supporting change management efforts where necessary
- Support the leadership teams with board meeting preparation, logistics, document creation and sharing, and reports
- Oversee the organizational culture work lead by the Senior Manager of Culture, Operations and Development
- Support day-to-day administrative tasks including: scheduling, preparing agendas, taking notes and capturing action items for internal and external meetings; and providing project management support to various internal initiatives
- Administrative support for staff, including support for managing calendars, travel and expenses
Program Operations:
- Identify and onboard contractors for projects as needed.
- Partner closely with contractors to support the implementation and management of Solidarity Fund projects such as impact reports, website functionality, brand management, media engagements, fundraising campaigns and others.
- Support the administration of the Solidarity Fund stipend program. This includes:
- Work with our IT partner to ensure the grant platform, Submittable, is correctly set up and operating smoothly for each of the funds
- Coordinate with our communications partner to make website updates to reflect the opening and closing of the application portal
- Monitor application submissions
- Oversee the status of each application and move applications through each stage of the process
- Conduct phone interviews with Fund applicants, in collaboration with other staff members
- Manage the payment/fund disbursement process for applicants in coordination with accountants
- Identify and implement process improvements as needed
Compliance:
- Help support compliance oversight of the organizations to ensure all organizational policies and procedures are in compliance with applicable local, federal and state regulations and laws.
- Help support compliance with all grants, donations, and other financial restrictions
Supervise:
- The Director of Operations and Administration will supervise the Senior Manager of Culture, Operations and Development at Coworker.org, providing support and oversight of their work and continued professional development within the organization.
The person holding this position may also work part-time for a coordinated project, The Solidarity Fund, a 501(c)(4) organization, under a resource sharing agreement between Coworker.org and Solidarity Fund. The responsibilities under that position will be overseen by The Solidarity Fund.
WHAT WE ARE LOOKING FOR:
- Passion for workers’ rights, workplace democracy, and economic justice
- Strong experience in operations, financial management, and executive level support
- Experience with both 501(c)(3)s and 501(c)(4)s
- Experience with fiscal sponsorship is highly preferred
- Experience with managing people, or teams of people. This could be a direct supervision, or managing of a project team.
- Experience providing a range of operational and administrative support for staff, including managing calendars, travel and expenses, correspondence with external partners, confidential matters, and budgeting and financial reporting
- Strong judgment, with the ability to take initiative and work independently on multiple priorities while also actively partnering with the organizations leadership and program staff
- Excellent written and verbal communication skills, strong presentation skills, and experience building trust through partnerships
- Ability to prioritize and multitask, with a deadline and detail-oriented approach, strong organizational skills, and strong troubleshooting and critical thinking skills
- Solid understanding of project management best practices, especially stakeholder management
- Ability to collaborate with a small, remote team internally and a variety of individuals, groups, and leaders externally
- Demonstrated experience and success working with people from a broad range of backgrounds, communities, and experiences who are vulnerable to systemic injustices, including immigrants, people of color, women, people who are LGBTQ, living with disabilities, low-income, etc. (and any or all intersections of these things)

This is a full-time exempt, fully remote position with an annual salary of $115K to $130K.
