Purpose of the Position
The Development Database Manager manages the gift processing systems, creates and maintains documentation related to overall data systems functionality, and directly manages a team of eight. This position is responsible for ensuring that charitable donations, which are received through multiple channels, are flowing properly and troubleshooting any technical issues that may arise for over 200,000 gifts worth approximately $80M to $100M annually.
This position works as a key collaborator on the evaluation and integration of Salesforce and complementary applications. This position works in collaboration with the Data Analytics Manager to ensure appropriate data coding for reports and analysis.
As an integral member of the Development team, the Development Database Manager is responsible for managing the accuracy and efficiency of a constituent database management system, as well as support for development operations and fundraising programs. This person will provide critical leadership in the tracking, processing, acknowledgment, and reporting of all charitable contributions received by Second Harvest Silicon Valley. The Development Database Manager ensures donor information is accurate and kept confidential.
Responsibilities
- Supervise accurate gift processing, coding, reporting, and acknowledgment system in current CRM.
- Manage workflow of the data entry and processing team to ensure effectiveness and efficiency.
- Import gift constituent information regularly from third party sources, including Lockbox, and other sources as necessary.
- Manage relationships with Blackbaud, Omatic, Classy, Lockbox, Benevity and other third-party vendors.
- Act as a resource to the Development Department for the use of current CRM. Oversee and provide ongoing training.
- Develop systems for automating the entry and maintenance of data in the donor database.
- Prepare/build queries, exports, reports, and dashboards as requested.
- Responsible for maintaining and updating procedure documents for gift processing, database use, and creating Development Standard Operating Procedures as needed.
- Manage the interface of data records between members of the Development team, ensuring all staff access, and utilization of database according to development policies.
- Monitor Development Operations Ticket Request Tracker and collaborate in the fulfillment of requests.
- Lead the Development Operations team including temporary holiday staff in maintaining high standards in gift processing, acknowledgements, donor information, etc.
- Develop and manage collaborative relationships with Development and Marketing, Finance, and IT. Manage relationships and serve as a liaison.
- Understand internal customer needs and proactively propose solutions that will assist them in achieving goals.
- Serves as an administrator for Concourse and reset the server as needed.
Leadership
- Collaborate with Data Analytics Manager to ensure data is appropriately captured for accurate reporting and analysis from CRM systems
- Effectively facilitate meetings
- Demonstrate a positive and productive attitude.
- Serve as a leader within the Development and Marketing department and mentor the Development Operations team
- Maintain active communication with department staff to ensure issues are surfaced, addressed, and resolved
- Key collaborator on integration and evaluation of Salesforce, complementary applications, and other technologies for use by the Development and Marketing Department
- Provide highest levels of customer service to inside and outside constituencies
- Lead field mapping and preparation for Salesforce
o Inventory of all Raiser’s Edge fields and determine whether to archive, translate or keep
o Description of use case for migration
- Co-manage Salesforce App selection research and integration including:
o Deletion of obsolete fields
o Consolidate information where possible
- Salesforce App selection and procedure creation
o Gift Batching App
o Online Donation processing App
o Other Apps as needed
The ideal candidate will possess the following professional qualifications:
- Experienced with CRM systems and technical teams is required.
- Strong interpersonal, analytical, and technical skills.
- Extreme attention to detail and flexibility.
- Understanding of basic fundraising and donor stewardship principles. Experience working in a development office preferred.
- Excellent proof-reading skills.
- Ability to work independently.
- Ability to write technical documentation.
- Advanced Microsoft Office experience.
- Ability to drive projects forward end-to-end.
- Proven experience building relationships with a diverse group of internal and external constituents.
- Demonstrated ability to independently organize, plan, and carry out activities to meet specific timelines and goals.
- Adapt to frequent changes of routine and pace of activity due to unpredictable demands without loss of efficiency or composure.
- Possess a passion for the advancement of the agency’s mission.
- Ability to work flexible hours, including evenings and weekends as needed.
- Possession of a valid California driver’s license and a clean DMV record. Willingness to drive personal vehicle as necessary. Compensation for business mileage to be reimbursed at standard IRS rates.
- Ability to perform duties in accordance with Agency’s Safety Policies and Injury Prevention Program.
- Additional responsibilities may be assigned by your manager/management.
