Part-Time Development and Communications Coordinator
Job Description
Physicians for Social Responsibility Pennsylvania (PSR PA) seeks a dedicated and motivated Development and Communications Coordinator.
Part-time position: 10-15 hours per week, starting at $17/hour based on experience – Must be available for some evening meetings.
Location: REMOTE Philadelphia, PA, USA (With some office hours in Center City)
PSR PA is seeking a part-time Development and Communications Coordinator to work closely with the Executive Director to support PSR PA’s fundraising and communications goals. The role will play a critical part in managing development and donor engagement via DonorPerfect , Constant Contact and annual campaigns.
What Are We Looking For?
- Bachelor’s Degree or relevant work experience.
- A demonstration of commitment to timeliness and attention to detail.
- DonorPerfect and Constant Contact proficiency is a must.
- Experience in scheduling and coordinating virtual and in-person meetings and events.
- Experience in managing sensitive membership data.
- Experience in Wix, MS Office suite and Google Drive.
RESPONSIBILITIES:
Development:
- Maintain DonorPerfect including adding/updating donor records, generating thank you letters, designing and running reports and managing lists.
- Support the Executive Director in establishing and executing processes needed to ensure all routine and necessary contact, cultivation, and follow-up are accomplished in a timely manner, including tracking and recording engagement with new and existing donors and supporting follow up as needed.
- Assist with development and fundraising planning, implementation and administrative tasks.
- Prepare materials for grant-related processes and meetings.
- Maintain prospects database and robust pipelines of new potential funders and regularly inform relevant team members of potential grant opportunities, mission alignment and eligibility requirements
- Compile reports for board meetings.
- Make weekly deposits and checks delivered via mail.
COMMUNICATION:
- Monitor organization’s info email account and respond to emails on a timely basis.
- Manage mail, phone, voicemail.
- Facilitate communications, write letters and correspondences as needed.
- Strong telecommunication and cold-calling skills.
- Support the Board of Directors and its committees with administrative tasks: scheduling meetings, compiling and sharing documents, coordinating board retreats, composing and preparing minutes as needed.
- Provide website and newsletter support including creating copy and design, editing and compiling information.
- Manage Google Drive and Google Documents.
OFFICE:
- Maintain office supplies and equipment adhering to PSR PA policy.
- Follow and update protocols and standard operating procedures for common tasks.
- Facilitate bulk mailings and printing tasks for fundraising campaigns and events.
- Serve as an interface with facility landlords.
SKILLS NEEDED:
Software Proficiency in the following: Donor Perfect, Excel, Microsoft Word, Buffer, Wix, Constant Contact, Gmail, Google Drive, Facebook, Twitter, Instagram, LinkedIn, YouTube, Vimeo, and Zoom.
The best candidate will have:
Excellent writing skills for donor communication, reports, letters, social media/marketing and email.
Soft Skills: Organized, Independent, self-starter, honest, dependable, enthusiastic, ability to problem solve, team building, ability to cold call clients and associates, friendly, interest in health, social and environmental justice, and violence prevention.
Clearances: Background checks are required including Criminal Background Clearance, Child Abuse Clearance, FBI Clearance.
Physical Requirements: Ability to climb stairs, and carry 10-20 pounds of small items to meetings and events.
OTHER:
Evaluations are at three months and annually.
Hire must adhere to the policy and procedures of the PSR Employee Handbook.
