Job description
Corporate Services offers a challenging and stimulating variety of work in both delivery and support teams. The function utilises the expertise of eight specialisms that collectively enable the operational day-to-day running of the business to ensure that DE&S/SDA delivers its objectives and maintains compliance with the requirements of being part of a Department of State. We cover: Business Support; Comms, Media & Marketing; Infrastructure & Estate Management; Policy Profession; Sales & Disposals; Occupational Health, Safety & Environment; Quality Management; and Security.
A progressive opportunity has arisen for Business Support within our Head of Establishment (HoE) Team at DE&S Donnington. Working in the Estates and Facilities Office, you will be significant in assisting with the procurement of office consumable stores, products, equipment and services. Acting as a focal point for maintaining the Estates and Facilities Management and Infrastructure Management records, you will be key in providing administrative and physical support to the Head of Establishment Team.
You will be providing effective and high-quality clerical support, office management and administration, to ensure the team conducts business as efficiently as possible. Most importantly, as part of the team, you will be helping to ensure that the DE&S Donnington maintains a safe, secure and legally compliant place of business on behalf of the Ministry of Defence.
Responsibilities
In this dynamic position, responsibilities will include:
• Producing and preparing accurate meeting materials on time; including agendas, printing and flagging briefing packs and presentations.
• Manage the logistics of meetings and visits, including travel and accommodation.
• Conduct accurate and efficient information management tasks such as filing and recording of spreadsheet expenses.
• Attend meetings with/for the Delivery Manager to record minutes and actions. Represent DM at meetings and on site, as required.
• Manage other administrative tasks, assist drafting Business Cases and Statements of Need to procure office equipment, Services, Functions and New Works Delivery.
• Assist in establishing and maintaining stakeholder networks across the Head of Establishment Team’s business contacts and work colleagues (internal and external to DE&S). Dealing with contractors and multiple team working groups and liaising with Stakeholders.
• Online ordering of consumables stores for HoE Team and supported dependant teams across site, maintaining capability to function.
• Work with the Delivery Manager to understand the business need and objectives to build a cohesive and efficient working relationship.
• Carry out other reactive ad-hoc tasks as required by the Delivery Manager.
• Assist Building Officer as their deputy within the workplace. Reporting and recording of routine repairs and responses.
• Note: An amount of manual handling and carrying out ‘self-help’ work is involved in this position
Due to the scale of the site and the large area and the need to travel between MoD sites, the ability to drive would be beneficial.

What you will be assessed against
To be found successful you must demonstrate the following essential criteria:
• Excellent and demonstrable IT skills particularly Microsoft Office
• The ability to work autonomously and as part of a collaborative team
• An effective communicator, both verbally and written, with strong interpersonal skills
• The ability to carry out tasks following written instruction
• Minimum of 5 GCSEs or equivalent Level 2 qualification or higher.

• Full UK driving license
