Corporate Services offers a challenging and stimulating variety of work in both delivery and support teams. The function utilises the expertise of eight specialisms that collectively enable the operational day-to-day running of the business to ensure that DE&S/SDA delivers its objectives and maintains compliance with the requirements of being part of a Department of State. We cover: Business Support; Comms, Media & Marketing; Infrastructure & Estate Management; Policy Profession; Sales & Disposals; Occupational Health, Safety & Environment; Quality Management; and Security.

Working in DE&S within admin support you shall operate under supervision of senior admin management colleagues in order to carry out tasks including transactional activities and escalating issues to senior colleagues when required.

Responsibilities

You shall be an innovative and resourceful individual with the ability to prioritise work in an ever-changing environment, paying high attention to detail. Working within a team and liaising with different stakeholders including Ministry of Defence Police (MDP) and Ministry Guard Service (MGS), you will be an effective communicator with excellent interpersonal skills.

You will;

• Conduct accurate and efficient information management tasks such as filing, expenses and time recording.
• By exception and where appropriate attend meetings with the principal to record minutes and actions.
• Manage other administrative tasks, such as drafting business cases to procure office equipment.
• Carry out other reactive ad hoc tasks as required by the delivery.
• Establish and maintain stakeholder networks across the delivery business contacts and work colleagues (internal and external to DE&S).
• Work with the principal to understand their needs and objectives to build a cohesive and efficient working relationship.
• Issuing photographic passes to depot staff, visitors and contractors, maintaining registers along with security clearances.
• Maintain the MOD’s Security Access Management system, updating as advised and producing reports as required.
• Maintain vetting register for staff clearances, hastening action as necessary.
• Create vehicle passes, maintaining a register and updating database
• Maintaining key lists for buildings and maintain Key Register.
• Arrange security review meetings and create minutes as required.
• Maintain site register of classified documents.
• Co-ordinating musters and periodic spot checks of classified documents, keys and files and maintaining records.
• Recording and progressing Police reports on minor breaches of security regulations. Maintaining Security breach diary.
• Assist the Team Site Administrator in the maintenance and control of the SharePoint IT System.

Due to the location and requirements for travel a full UK Driving License would be advantageous

What you will be assessed against

To be found successful you must demonstrate the following essential criteria:

• Experience working with both external and internal customers
• Good understanding of Microsoft office tools. (Excel, Word, Outlook)
• Be educated to GCSE level or have other equivalent qualifications

It would benefit your application should you be able to demonstrate the following desirable criteria:

• Previous experience within administration would be an advantage.
• Evidence of being proactive.
• Experience of building relationships
