We are currently hiring for the position of:

Coordinator, Festival Programming

Reporting to the Manager, Festival Programming, the Coordinator, Festival Programming is responsible for providing administrative support to the Festival Programming department for programming, planning and execution of the Toronto International Film Festival and applicable year round initiatives. Responsibilities will include: oversight and coordination of film submissions for festivals and related administration; film information tracking; scheduling support; and Jury and Awards support. This position works in collaboration with teams to ensure exceptional service, support, and administrative processes for internal and external stakeholders. This position supervises applicable seasonal Festival Programming staff.

RESPONSIBILITIES:

  • Assist with administrative processes related to the execution of the Toronto International Film Festival
  • Oversee and coordinate all film submissions and related administrative programming support for festivals
  • Manage and monitor progress of submissions projects while ensuring internal and external submissions related deadlines are met
  • Communicate with internal and external stakeholders, including submitting parties, providing information and trouble-shooting advice as necessary 
  • Receive, process, assign and catalogue submissions, including creating and maintaining accurate database records, and ensuring submissions directed to Programming team members in a timely manner
  • Attend submissions pre-screener meetings
  • Optimize and improve processes after each submissions season 
  • Hire, onboard, train and supervise applicable seasonal staff 
  • Track films in consideration, including festival and company lineups, build records and Artifax updates, and conducting research as needed
  • Manage departmental email accounts and organize information to be communicated, as required
  • Assist with film scheduling processes: data entry, conflict checks, schedule notification processes, and proofing of information for key publications, press releases, and online
  • Manage organization of departmental drives and documents
  • Assist department in other projects as required, including Jury & Awards, Stage Remarks, Canada’s Top Ten, and ticketing support
  • Prepare materials for meetings and presentations as required
  • Prepare reports, data analysis and industry research as required
  • Other coordination and administrative duties as required and assigned

START DATE:

  • January 5, 2022

MINIMUM REQUIREMENTS:

  • 2+ years experience in project coordination, arts or business administration
  • Experience working at a cultural institution or festival an asset
  • Familiarity with the film industry and international cinema
  • Degree or diploma in Film Studies or related area considered an asset
  • Staff, volunteer or intern supervision an asset
  • Strong communication and interpersonal skills 
  • Strong organizational and project management skills with extreme attention to detail and ability to prioritize
  • Experience handling large volumes of data or information with accuracy
  • Advanced computer skills, familiarity with databases, CRMs, project management tools, Microsoft Office, Google (experience with Artifax considered an asset)
  • Strong research skills and ongoing awareness of industry trends
  • Precise memory for names, positions, companies and situations
  • Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
  • Ability to handle difficult situations and people with positive, problem-solving attitude
  • Ability to both work independently and in a team environment Desire and ability to take initiative and coordinate projects
  • Understanding and commitment to superior client servicing
  • Ability to work, prioritize and respond well in deadline-oriented, fast-paced and high pressure environments with a flexible schedule, including evenings and weekends
  • Additional language(s) spoken would be an asset
