ASSISTANT, DIRECTOR PROGRAMMING

Festival Programming
To provide administrative support to the Director, Festival Programming and Cinematheque with meeting management, film tracking and maintenance of their daily and travel schedules in Festival Programming and Cinematheque portfolios. This position is three days a week until May 29 then full time until end of contract.
RESPONSIBILITIES:
Shall include but not be limited to:
- Manage the daily schedule of the Director, Festival Programming and Cinematheque;
- Manage the Director, Festival Programming and Cinematheque Festival schedule, including creating daily information folders and itineraries;
- Manage the Director, Festival Programming and Cinematheque’s travel schedule, including scheduling stakeholder meetings, creating daily information folders and itineraries
- Support the Senior Manager, Festival Programming in Festival scheduling
- Relay messages and coordinating calls for Director, Festival Programming;
- Assist film departments with entering film tracking information into the database, as required and according to established guidelines;
- Support the Coordinator, Festival Programming with entering Festival preview screening information and comments into the database according to established guidelines;
- Create film and hospitality invitations for a designated group of film programmers and programmes;
- Create additional discretionary hospitality invitations, as required;
- Assist with the management of departmental email addresses and organizing the information to be communicated, as required;
- Assist with data entry and proofing of the tentative and confirmed film schedule in the weeks of July 22 and July 29, respectively;
- Assist with sending tentative and confirmed Festival screening schedule notification letters in the weeks of July and August;
- Prepare materials for meetings, as required;
- Assist with creating Festival presentations, as required;
- Send and track RSVPs for Festival events;
- Assist the Manager, Festival Programming with proofing the Official Film Schedule, Press & Industry Guide and online film schedule in the weeks of August, respectively;
- Assist with organizing special events run by Festival Programming in the lead up to and during the Festival, including orientation sessions, the Filmmakers’ Brunch and Directors’ Dinners;
- Provide additional administrative support to senior members of the team as required;
- Write a detailed post-mortem report.
- Other duties as assigned
RATE OF PAY:
- $20.00/Hourly
TARGET CONTRACT DATES:
- May 1 to October 16, 2023
MINIMUM REQUIREMENTS:
- Post-secondary degree/diploma;
- Excellent organizational skills and a keen eye for detail;
- Precise memory for names, positions, companies and situations;
- Mature personal judgment, exhibiting a high level of professionalism and diplomacy;
- Able to handle difficult situations and people with aplomb and grace;
- Excellent phone manner, communication fluency and interpersonal strengths;
- Proficiency with computers and applications (including Microsoft Office Suite and relational databases);
- Ability to work both independently and in a team environment;
- Desire and ability to take initiative and coordinate projects;
- Ability to work and respond well in fast-paced and high pressure environments with a flexible schedule, including evenings and weekends;
- Fluency in a second language considered an asset;
- Previous festival or event planning experience is considered an asset.
- Concentrating for prolonged periods at computer terminals;
- Providing service to several people or departments, working under many simultaneous deadlines;
- 9am-5pm, Monday through Friday, with some flexibility;
- Mostly sitting, regular interruptions;
- Must be available to fully work weekends during Festival
- More flexible schedule in lead up to and during 11 days of Festival;
- Adaptable to a flexible work schedule including some evenings and weekends.
