Full-Time Convention Services Coordinator

Job Description

National Automobile Dealers Association (NADA) is searching for a Convention Services Coordinator to join our team and support the organization and execution of our key events. This position is ideal for someone eager to elevate their event planning career, whether they’ve gained initial experience as a coordinator or admin assistant in events, hotels, or sales. It offers an exciting chance to step up and work on a top-40 tradeshow, diving into larger-scale conventions and events with thrilling new challenges and opportunities.

This position is full-time and requires you to be onsite Monday through Thursday, with the option to work remotely on Fridays. We offer a supportive and healthy work culture, competitive salary, and excellent benefits. Duties require some travel, comprising up to 10% of the role.

Key Responsibilities:

  • Coordinate and maintain registration and housing for major events such as the Washington Conference, ATD Fly-In, and Board of Directors and Committee Meetings, including meeting notifications and arrangements.
  • Act as NADA’s point of contact for daily operations related to registration and housing, including testing vendor applications and troubleshooting issues.
  • Create and deliver detailed registration status reports, providing insights and updates on various events.
  • Build strong relationships with housing and registration staff, NADA leadership, VIPs, and attendees to ensure top-notch service and support.
  • Handle setup and coordination of satellite registration areas, manage inventory of credentials and supplies, and oversee the distribution of materials.

Skills & Qualifications:

  • Minimum 2 years of experience in meeting planning, event management, or hospitality, ideally in an association or corporate setting.
  • Associate’s degree in Hospitality Management, Event Management, Communications, Business Administration, or a related field, or equivalent relevant experience.
  • Strong communication and interpersonal skills, ability to handle multiple tasks under pressure, and a knack for organizing and coordinating high volumes of details.
  • Proficiency in Microsoft Office, Maritz and Cvent registration systems, Airtable, and association management software preferred.
  • Comfortable with various software platforms and eager to leverage new technologies to enhance the event experience.
