Contracts Coordinator Position Description (Remote)

About Carbon A List

Carbon A List is a climate action instigator specialized in navigating the burgeoning opportunities for climate action, especially, but not limited to, the land sector. Our mission is to help clients and partners unlock climate action in a way that creates equity, transparency, and continuous improvement. Carbon A List offers strategic consulting, methodology development and design, and project development services to a wide range of climate-centric organizations.

About the Project

We are leveraging our expertise and positioning to deliver on a $70 million U.S. Department of Agriculture Partnership for Climate Smart Commodities grant (“the Grant”). Serving as a collaboration between industry partners, the Grant is designed to develop end-to-end supply chain partnerships with the goal of both producing climate smart commodities and marketing them via brands and retailers to consumers.

About the Position

The Contracts Coordinator will serve as the connective tissue for legal administration, blending contract administration excellence with project coordination expertise. This role will not only support legal operations but also ensure our legal workflow is efficient and effective for farmer and partner successes.

Your Daily Focus:

  • Contract Administration: You will work with our legal counsel to develop templates and use these to draft and revise contracts, ensuring compliance with both our high standards and legal musts. You’ll also maintain our contract management system.
  • Liaison and coordination: Act as the nexus between project managers, accounting, clients, partners, and legal teams, adeptly addressing inquiries and smoothing out contractual creases.
  • Monitoring Deadlines and Milestones: You’ll keep a vigilant eye on contract milestones, ensuring everyone is alerted to key dates and actions, like reporting and financial deadlines, coordinating signatures and distribution with precision.
  • Administrative Excellence: You’ll bring order and foresight to administrative tasks—calendaring for productivity, documenting for clarity, and boost efficiency.
  • Continuous Improvement: In the heart of project orchestration, you will assist in refining our systems and processes, supporting a dynamic environment where your role is key to our continuous evolution and success.

Requirements and Evaluation Criteria:

  • Education: An Associate’s degree in a relevant field, coupled with demonstrable expertise in contract administration, bookkeeping, and administrative expertise.
  • Stakeholder Engagement Skills: The ability to effectively engage with a variety of stakeholders, including farmers, processing partners, and market participants. This means being adept at understanding and addressing the diverse needs and perspectives of different groups and working to support them.
  • Project Coordination in Agriculture or Sustainability Projects: Demonstrated experience in coordinating projects, preferably in the context of agriculture or sustainability. This means effectively managing project timelines, resources, and deliverables in a dynamic environment.
  • Data Management and Reporting Skills: Ability to manage data effectively, especially related to tracking and reporting on climate smart practices and commodity processing. This involves both the collection of relevant data and the ability to report on it in a meaningful way.
  • Tech Savviness: A whiz with Microsoft Office Suite, project management software (extra kudos for Asana know-how!), and financial software like QuickBooks.
  • Detail Orientation: We are looking for someone with incredible attention to detail and a problem-solving mindset.

Preference for the Following:

  • Agricultural Industry Knowledge: Knowledge of agricultural practices and challenges, particularly relating to soybean and oat production and climate-smart practices. The candidate should understand the dynamics of the agricultural sector and the challenges farmers face in adopting new practices.
  • Contract Management in Diverse Environments: Proficiency in handling contracts that involve various aspects of agricultural production, processing, and marketing. The candidate should be skilled in drafting, negotiating, and managing contracts that are multifaceted and involve different sectors.
  • Financial Fluency: Hands-on experience with financial software and bookkeeping best practices gears our processes towards greater efficiency.

Life at Carbon A List:

  • Competitive Salary: We offer a competitive salary commensurate with experience and qualifications. The salary range for this role is $45,000 – $60,000 per year.
  • Optimized Work Week: We value productivity and quality, which is why we’ve adopted a 32-hour work week model to ensure that you have ample time for personal pursuits and professional excellence.
  • Flexible Schedules: We commit to working half of our hours during core hours to keep us connected. The rest of your day is yours to tailor for peak productivity and personal harmony.
  • Remote Reality: Embrace the flexibility of a fully remote role, providing you the freedom to work from wherever inspires you most, from bustling city cafes to tranquil country retreats.
  • Generous Time Off: Benefit from a generous allocation of personal time with four weeks of vacation, two weeks of sick leave, and an annual shutdown period during the year-end holidays to recharge and reconnect with what matters most.
  • Ongoing Benefits: We go beyond the basics with our benefit offerings, because your health and happiness matter. Employees enjoy health benefit offerings, a generous onboarding package to aid in remote setup, wellness rewards, and employee appreciation awards.
