Full-Time Contract Coordinator – Seattle, WA

Job Description

The Contract Coordinator is responsible for providing general administrative support to the Contracts Team, including tasks related to subcontracts and client contracts, while ensuring accuracy and compliance with established guidelines. The Contract Coordinator will track and monitor subcontractor insurance requirements in addition to providing information and troubleshooting issues related to the company’s insurance information provided to clients. Beyond insurance matters, the Contract Coordinator will develop and monitor various databases for compliance tracking, generate monthly reports, route email inquiries to the appropriate recipients, and perform general administrative tasks in support of the Contracts Team while ensuring accuracy and compliance with established company guidelines.

 

Essential Duties and Responsibilities

 

Subcontracts

  • Reviews, analyzes, and tracks subcontract insurance certificates. Facilitates requests for new insurance certificates.
  • Monitors and facilitates subcontract/subconsultant insurance certificate renewal submissions.
  • Serves as the primary point of contact for expired/deficient insurance certificates for Subcontractors. Monitors and maintains insurance expirations in the company’s database and communicates with Subcontractors when certificates have expired.
  • Coordinates and reviews required vendor documentation such as Health & Safety, small business, and W-9 forms for self-prepared Work Order/Task Orders and those requested by Subcontracts Team and Contract Administrator.
  • Manages updates in the Agreement system for Subcontract, Work Order, Task Order, and Master Services agreements.
  • Assists in preparation and follow-up requests of sent subagreements.
  • Files and maintains prevailing wage intents, affidavits, and submissions.
  • Assists project managers to research and follow up with subcontractors to meet DBE requirements.
  • Maintains a signatory authority database for project managers, Principals and Associates for execution of subcontracts.
  •  Provides general administrative support.

Client Contracts

  • Assists and troubleshoots certificate of insurance requests for Client Agreements.
  • Uploads, maintains, and troubleshoots insurance information in third-party verification sites (ISNetworld, Avetta, VeriforceONE, myCOI, etc.)
  • Tracks various types of work for insurance auditing and reporting.
  • QA/QCs signed agreements for accuracy and compliance.
  • Assists with miscellaneous projects and provides general administrative support as needed.

Qualifications

  • Bachelor’s degree in business, finance, or related field required.
  • 2 years of related administrative experience required. Experience in a professional services or science and engineering firm preferred.
  • Demonstrated proficiency with MS Office Suite including Outlook, Excel and Word. Experience with Deltek Vision a plus.
  • Professional-level verbal and written communication skills.
  • Proven ability to interact with clients and staff professionally and respectfully.
  • Demonstrated ability to work independently with a high level of initiative, effectively meet set deadlines and adapt to changing requirements.

Physical Requirements and Work Environment

  • Normal office environment with moderate noise levels, occasional lifting of up to 25 lbs., prolonged sitting and regular walking, bending, standing and reaching.
  • Ability to perform consistent work on a PC with prolonged view of a monitor/screen.
  • Willingness and ability to travel occasionally as needed.

Our best estimate of the salary range for this position, located in Seattle WA is $25.10-$37.31 an hour. Compensation offered will be based on a variety of individual factors, including education and experience, as well as internal equity. GeoEngineers’ salary ranges are reviewed and updated each year and employees are eligible for pay increases based on individual performance. As part of our competitive total rewards package, employees in this role may also be eligible for our annual year-end bonus offering, subject to program eligibility requirements.
