Job Description

The Cato Institute, a non-profit public policy research foundation headquartered in Washington, D.C., is seeking a Conference Planner to work from November 2022 to May 2023 to plan and manage operations and administrative responsibilities for both in-house and off-site meetings.  This position will be the lead planner for virtual events, manage registration for Cato’s Sphere Summit Summer events, and plan a variety of in-house meetings consisting of receptions and multi-day events.

 Responsibilities  

  • Update event budgets and timelines, closely monitor and document expenses and recommend adjustments as necessary throughout the planning process to ensure event effectiveness while remaining within budget.
  • Be the main point of contact for a variety of Cato staff (scholars, executives etc.) while planning their events.
  • Create and submit specifications for logistics to applicable vendors (including but not limited to hotels, caterers, av suppliers, DMCs, shipping vendors, printers, etc.) and negotiate contracts.
  • Serve as the primary contact during event planning and execution and ensure accurate conversion of event details into the vendor’s documents and forms.
  • Manage the virtual attendee experience for remote and hybrid events.
  • Oversee registration and housing aspects of assigned events and ensure accuracy of data.  Provide assistance on additional Cato events when needed.

Requirements

  • A Bachelor’s degree with 3-5 years of meeting planning experience and proven work history of managing multiple events at one time.
  • Strong verbal and written communication skills with exceptional attention to detail, quality and accuracy.
  • Capable of effectively working in a fast-paced environment with strong customer service mentality and meets deadlines; manages time without constant supervision.
  • Positive and professional demeanor at all times while working with staff, vendors, and attendees, easily adapts if project changes scope.
  • Ability to problem solve, manage crisis situations effectively and maintain a professional composure while working under pressure.
  • Position requires 25% of travel throughout the year and may increase.
  • Knowledge of EMS and Swoogo is a plus.
