Job Description

The Complex Administrator is responsible for the overall running of the Complex, including the administration, support for Paralegal I staff, as well as the management of arraignments, data/central unit, and reception area. This role ensures all work is completed in a timely fashion, maintains attendance records, and assists with operational support for the office and staff, including maintaining expense reports, petty cash, leave accrual reports, and statistical reports. The Complex Administrator also ensures quality control of all arraignment and Law Manager data and fosters relationships with court personnel and other agencies.

ESSENTIAL DUTIES/RESPONSIBILITIES

Office Management and Administration

  • Ensure smooth and efficient operation of the courthouse office, coordinating all activities and managing daily tasks
  • Handle all general administrative responsibilities, including maintaining records, processing reports, and managing other administrative duties as assigned
  • Maintain Office Facilities and Equipment: Ensure that office facilities and equipment are properly maintained and functioning optimally, coordinating repairs or replacements as necessary

Paralegal I Support and Reporting

  • Works with the Borough Administrators and Paralegal Supervisors to support Paralegal I staff, ensuring that all work is performed efficiently and meets the required standards
  • Monitor Arraignment Data Entry and Central Files Maintenance: Oversee the accuracy and completeness of arraignment data and central files, providing guidance to staff as needed

 Liaison and Coordination

  • Liaise Between Internal Shared Services, IT and External Service Providers: Act as the primary point of contact between the office and both internal shared services departments and external service providers, ensuring seamless communication and service delivery
  • Participate in the Examination and Improvement of Internal Procedures and Systems: Collaborate with management to assess and enhance internal procedures and computer systems, implementing improvements as identified

Professional Development and Other Duties as Assigned

  • Participate in continuous professional development
  • Contribute to process improvement individually and with the Learning & Development team
  • Perform other duties as assigned

TRAINING AND QUALIFICATIONS

Required qualifications:

  • Associate’s degree + 2 years of experience or any equivalent combination of education/experience
  • Ability to work independently and collaboratively with other managers

Preferred qualifications:

  • Bachelors of Business Administration
  • Previous administrative and supervisory experience
  • Excellent interpersonal communication, organizational, and writing skills
  • Proficiency in Microsoft Office and Law Manager
  • Ability to design and implement new procedures quickly and effectively

SALARY TRANSPARENCY

The posting reflects the range of potential salaries for the role. The specific salary offers will be dependent on candidate qualifications, including collectively bargained salary steps for unionized roles.

Salary Range/ Salary: $80,000 – $88,680
