Full-Time Community Cultural Coordinator

Responsibilities:

  • Conducts the analysis of policies and procedures, develops and, initiates plans to ensure effective operational planning and service delivery. Identifies trends.
  • Oversees facility and studio operations, provides staff direction, strategic planning, development and coordination of cultural services and programs for clients and the community.
  • Recruits, selects, trains and monitors service delivery of staff.
  • Trains and schedules staff and volunteers. Coordinates vacation scheduling.
  • Develops fiscal management strategies to meet the needs of customers and to achieve revenue targets.  Provides input into and administers assigned operating budget.  Ensures that expenditures are controlled within approved budget and revenues are collected and deposited, in compliance with corporate finance policies and procedures.
  • Identifies and develops alternative revenue enhancement strategies to support program and facility development through programs such as donations, sponsorships, partnerships, fundraising events, equipment rentals.
  • Develops and presents cultural programs year round for children, youth, adults and seniors, stakeholder/rightholder groups and community partners. Oversees all aspects of rental program including bookings, Class permits, scheduling, conference and special event planning.
  • Oversees and co-ordinates repairs to facilities and provides input to Capital budget in order to provide a clean and safe venue for the public and staff and to preserve the heritage features of the facility.  Ensures that mechanical and electrical systems are inspected regularly.
  • Ensures that the work location, equipment and supplies meet health and safety standards by conducting workplace inspections.  Investigates and documents workplace accidents and incidents.
  • Leads and develops the site’s Advisory Committee(s) including recruitment and organizational structure.
  • Directs the delivery of cultural services and the operations of assigned facility including a creative centre as well as visual art exhibition spaces, meeting and workshop rooms and specialized studios for various art disciplines.
  • Resolves problems to accommodate a wide variety of clients including Councillor’s offices, supply companies, businesses, community groups, arts agencies, artists, etc. whose complex physical and technical needs vary depending on usage such as conferences, artist talks and residencies,  rentals, business seminars, Artist Series, community consultations, concerts etc.
  • Oversees technical and instructional staff to ensure the safe operation of a Multipurpose Arts Facility. Ensures staff have current training on arts procedures.  Ensures Front of House and studio procedures are consistent with established practice in the arts community.
  • Collaborates with Senior Arts Consultant and other Culture Division staff to deliver city-wide cultural outreach programs and services. Meets City Council priorities including the provision of opportunities for underserved groups such as youth, disabled persons and other diverse communities.  Provides organizational assistance to arts and cultural groups and other community organizations.
  • Develops policies that reflect current approaches to cultural practice. Implements policies for programs, facility permits and other operations.  Monitors and updates policies.
  • Builds, maintains and nurtures relationships with other program areas of the Culture Division and with other city divisions and departments that will increase the site’s public profile, revenue and attendance. Develops promotion and communication strategies with the community and media.
  • Ensures that stakeholders are consulted in the development and delivery of services.

 

 

Key Qualifications:

 

  1. Post-secondary education in a related discipline such as arts administration or the equivalent combination of education and experience.
  2. Experience in operating cultural facilities, including galleries, and other cultural attractions according to Health and Safety protocols and policies, including data management and administrative operations
  3. Considerable experience supervising and motivating staff, community partners, and volunteers, including handling conflict and problem-solving complex issues.
  4. Experience in coordinating, designing and delivering arts education and community arts programs, as well as evaluation, budgeting, risk management and consultation processes.
  5. Considerable project management experience in managing program budgets, establishing priorities and achieving planned results.
  6. Considerable experience consulting and collaborating with equity-deserving groups, marginalized community stakeholders/rightholders, artists and artist collectives, and volunteer advisory groups to ensure equitable access to cultural engagement and space.
  7. Extensive experience in a customer service environment and responding to inquiries from staff, the public, and individuals at other organizations, by phone, in person, and in writing.

 

 

You must also have:

 

  • Knowledge of facility booking procedures and payment systems e.g. CLASS  considered an asset
  • Strong organizational and multi-tasking skills and the ability to meet deadlines and assess priorities, with minimal supervision.
  • Considerable experience with databases, word processing and spreadsheet applications (e.g. Microsoft Office etc.).
  • Exceptional interpersonal communication with well-developed conflict resolution skills
  • Understanding of how to effectively motivate, train, and supervise staff
  • Knowledge of applicable government legislation in the area of Arts and Culture, employment standards, health and safety, public health, labour relations and human rights.
  • In depth knowledge of anti-oppression practices and equity and inclusion in the development and delivery of arts educational and community programming
  • Excellent knowledge of the community arts sector in the city.
  • Ability to ensure work practices conform to relevant policies, procedures, and asset management.
  • Ability to work flexible hours, which may include overtime, evenings and weekends.
  • Ability to develop consensus and recommend effective strategic solutions at the City and community level.
  • First aid certification or willingness to obtain
