Full-Time Clinical Services Coordinator

Job Description

Position Title:             Clinical Services Coordinator                        

Program:                      Counseling Services Office (CSO)                 

Reports To:                  Counseling Services Director                        

Status:                          Non-exempt, Full-time (1.0 FTE)                   

The mission of the Domestic Violence Resource Center (DVRC) is to support and empower survivors and their children who are affected by domestic violence.

Scope of Duties:

The (bilingual preferred but not required (English/Spanish)) Clinical Services Coordinator is responsible for providing advocacy and administrative support to the Counseling Services Program.  The Clinical Services Coordinator is a key component in providing support to the program’s participants and staff.

Responsibilities

  • Ability to work with and assist clients regardless of sex, gender, sexual orientation, race, ethnicity, socioeconomic status, age and/or disability.
  • Answer, receive, direct and relay incoming calls and messages for the Counseling Program.
  • Organize and maintain the client-records filing system.
  • Responsible for making copies and organization of Counseling Program forms.
  • Update Counseling Program supplies, resources, and signs when necessary.
  • Implement Counseling Program and DVRC policies, comply with HIPPA and VAWA confidentiality standards.
  • Attend clinical supervision, agency, and staff meetings as requested. Schedule meeting rooms as needed.
  • Assist in the planning and preparation of DVRC 40-Hour DV training, including new intern/employee training packets and 40-hour completion awards.
  • Schedule intakes and refer to appropriate services when necessary.
  • Prepare initial intake paperwork in client binders in coordination with interns.
  • Keep an updated schedule of groups and attach current calendars to intake bulletin boards.
  • Provide monthly statistical data and program reports as needed for funding sources.
  • Monitor Counseling Program client files in accordance with agency policies:
  • Ensure filing system(s) are maintained, up to date, and secure.
  • Define and maintain procedures for record retention.
  • Exit, transfer, and dispose of records according to retention schedules and policies.
  • Plan and implement office systems (scheduling/software, etc.).
  • Conduct random client file audits for organization.
  • Communicate case status information in accordance with DVRC confidentiality requirements (including HIPPA and VAWA).
  • Provide advocacy and crisis intervention when necessary.
  • Work with staff and interns as a liaison and support person.
  • Maintain and update client participation letters.
  • Responsible for exiting clients as per the Counseling Program policies and procedures.
  • Ensure that all pertinent client data is entered into Osnium on a regular basis.
  • Maintain a working knowledge of the program’s policies and procedures. Maintain a working knowledge on how to refer to other DVRC programs.
  • Coordinating and tracking outreach offsite community events.
  • Follow all agency policies and VAWA and HIPPA compliant policies related to sharing client information with law enforcement, DHS, courts or other agencies with whom the client is actively involved.
  • Update Counseling Program policies and forms as requested; translate forms into Spanish when needed.
  • Participate in committees as needed.
  • Provide back-up to the FJC front desk as needed.
  • Other duties as assigned.

Qualifications

  • Supportive of the Domestic Violence Resource Center’s mission.
  • Must pass a criminal background check.
  • Must complete the 40-hour Victims’ Advocacy Training, as required by the State of Oregon, within 30 days of employment, or as soon as reasonable.
  • Adhere to DVRC policies and procedures.
  • May be asked to represent DVRC at public events, meetings, services, clubs, etc.
  • Minimum of two years post high school education or relevant work experience.
  • Crisis intervention and/or advocacy experience a plus.
  • Fluently bilingual in English and Spanish required; bicultural preferred.
  • Excellent interpersonal, customer service, verbal and written communication skills.
  • Ability to work with difficult clients.
  • Friendly and professional phone etiquette. Maintain a positive and professional attitude.
  • Excellent organizational, problem-solving, and time management skills.
  • Ability to use technology necessary for day to day functions in a business environment including databases, Microsoft Office Suite, including Word, Excel, Outlook, etc., and Internet technology as work may be required to be completed remotely as needed.
  • Driving on behalf of agency business is required.

  • Ability to bend, stoop, push or pull items weighing 25 pounds or less-Occasionally
  • Walking-Ability to move within the office to access files, office machines, etc.-Regularly

  • Hearing, listening, vision, speaking, thinking, memory/recall-Constantly

Working Conditions:

  • Typical office work environment with natural and artificial lighting. May be exposed to cleaning solvents, bloodborne pathogens, and service animals. May require driving on an occasional basis.  Frequent repetitive motion with keyboard and use of computer mouse. Schedule will include evening hours.
