The Organization

Gilda’s Club Madison Wisconsin was the 23rd Gilda’s Club in the world and is an affiliate of the Cancer Support Community. Gilda’s Club Madison opened its doors on August 18, 2008 and we are proud to be entering our fifteenth year of serving families facing cancer. Gilda’s Club provides free emotional support, cancer education, and hope to children and adults with any kind of cancer and those who care for them. All employees are co-employed by QTI/Tandem.

Business Manager Qualifications

  • College degree preferred or four years of executive administrative experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed
  • Position requires person to: efficiently manage multiple projects and tasks; effectively problem solve; work independently and as a team member; collect input from staff for effective decision making; be flexible and open to new ideas; be able to maintain a flexible list of tasks; and develop working processes/procedures to improve Clubhouse operations and care.
  • Advanced proficiency in MS Office and CRM/database systems required
  • Comfort using and training others to use technology.
  • Excellent communication skills, including written, verbal, and listening skills
  • Excellent organizational ability and attention to detail
  • Willingness to step in wherever needed to improve Clubhouse operations and care
  • Strong relationship building/interpersonal skills and customer relations focus
  • Sense of humor and interest in supporting an amazing team

Key Duties

  • Bloomerang and Gnosis CRM Systems 30%
    • Manage quality control, internal training, and use of Gnosis and Bloomerang systems
    • Develop a training process and maintain training for staff, facilitators, and volunteers
    • Create and generate queries & reports in support of events, administration, and program
    • Generate processes with the CRMs to meet donor, program and organization needs
    • Work with Gnosis and Bloomerang on ongoing needs, requests, and challenges
    • Ensure the transfer of accurate data between systems regularly.
  • Fundraising & Special Events – 20% (More in the weeks leading up to events.)
    • Attend and work major fundraising events annually
      (June 15, September 11, and October 1 in 2023)
    • Update and maintain pre-event registration websites using Qgiv software
    • Raffle and auction input, tracking, and accounting
    • Track payments and complete invoices for event sponsorships
    • Manage logistics of event-related emails
    • Organize and oversee day-of on-site registration, check-in, and checkout
  • Administrative Tasks – coordinating with Administrative Assistant 15%
    • Answer phones and route incoming calls
    • Coordinate and train administrative volunteers
    • Create and email weekly e-newsletter to Gilda’s Club members and other promotional messages as needed
    • Back-up on donation data entry (daily/weekly)
  • Clubhouse Facility Management 15%
    • Identify clubhouse maintenance needs and coordinate the maintenance of the clubhouse inclusive of general day-to-day building care and upkeep, inspections, repair estimates and implementation
    • Coordinate clubhouse vendors, inspectors and maintenance schedule with contractors within budgeted allowances
    • Seek bids on repair projects and complete necessary follow-up
    • Administer phone system
  • Member Relations and Program 10%
    • Assist in member and public event registration as needed
    • Organize and manage new member processing, personally complete data entry when there are not adequate volunteers
  • Computer and IT 5%
    • Manage staff accounts, including new hires (computer, email, CRMs)
    • Manage printer issues with external techs
    • Work with IT vendor on software upgrades, swap outs, special programs and repairs/challenges
    • Train and assist staff and volunteers on computer, printer, and phones
  • Website Upkeep 5%
    • Update website content, general information, special event information, third party events, as well as board, Club Red, and PAC lists
  • Miscellaneous Duties as Needed

Physical Requirements and Working Conditions

Must possess mobility to work in a standard office setting and to use standard office equipment; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone; ability to lift up to 40 pounds for approximately 5% of a typical working day; ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day; ability to grasp with both hands; pinch with thumb and forefinger; turn with hand/arm; reach above shoulder height; ability to work on a computer and phone simultaneously.

Pay & Benefits

Salary of $52,000-$56,000, starting. Position is benefits-eligible and scheduled office hours are Mon-Thurs 8am-5pm and Fri 8am-12pm each week. Generous holidays and PTO are provided.
