General Statement of Responsibilities:
Point of contact within the department for the organization due to the expertise and specialized depth of the position. This is accomplished through a multi-faceted approach that includes but is not limited to: control of environmental conditions and facility maintenance, daily housekeeping and clinical support, maintaining inventory and timely delivery of supplies, and organizing the upkeep and on-going support of all the departments within Boynton. Provides solution recommendations when solving complex problems and only receives guidance when needed. Hours for the position are 11:00 a.m. to 7:30 p.m. Monday through Friday.
Detailed Job Responsibilities:
- Perform advanced professional program administration in building needs. This includes operating building automation for heating, ventilation, and air conditioning, and making sure building functions are working properly. Plan, evaluate, schedule, and assign work routines designed to allow for clean, safe, and convenient access to the building, efficient operation, and essential building services.
- Inspects conditions of areas such as, but not limited to: vending areas, rest rooms, hallways, dining areas, store rooms, exam rooms, conference rooms, and offices. Inspects for locked windows, doors, condition of floors, furnishings, drapes, lights, and equipment. Maintains vigilant lookout for hazards such as leaking pipes, untended waste, obstruction of egress routes, and wiring overloads. Conducts routine maintenance on cleaning equipment. Making repairs as needed for all above.
- Prepare building condition reports, takes periodic inventory of physical facilities and makes written and oral reports. Recommends plans to meet building needs. Notifies supervisor immediately in the event of potential emergencies such as a fire hazard or accident. Also included on the Public Safety Emergency Communications Center (PSECC) call list during off hours. Familiarity with Fire and Life Safety Code and Electrical Codes as well as administrative policies and safety protocols of Boynton Health and the University.
- Assesses and evaluates work in progress and completed jobs to insure compliance with custodial maintenance standards and approved safety practices.
- Coordinate, interview, train, and lead student housekeeping staff. Requires annual hands-on training with employees and as needed per student staff turnover. Instructs and advises housekeeping staff in work methods, operation and maintenance of equipment, safety protocols, supply procedures, and lighting controls. Keep annual records of employee training and compliance. This includes Blood Borne Pathogens training, Fraud, Waste and Abuse training, Minnesota Employee Rights to Know Act, and the Health Insurance Portability and Accountability Act.
- Keeps time and attendance records for department and student staff. Reports hours to payroll.
- Develop a variety of work processes to backup and assist building manager.
- Work with University facility maintenance trades and outside contractors to get work orders completed.
- Shared responsibility of building security. Aware of locking and unlocking procedures, including maintaining key control, documents access to the building and distribution of access. Listed as a secondary Department Access Coordinator for key, core, and UCard access requests to Central Security for building occupants. Backup Safety Officer as a part of the Boynton Incident Command Team
- Ability to monitor and operate fire panel during tests, troubles, or alarms. Also available for on-call weekends and emergency response.
- Coordinates purchases and ensures that adequate custodial and maintenance supplies are maintained. Has departmental financial responsibilities.
- Evaluate and purchase or recommend purchase of custodial equipment. Maintains and updates inventory system for par levels of housekeeping supplies.
- Trained as a procurement specialist on the Enterprise Financial System to create purchase orders (POs) for the department and others in the building. Receives invoices for payment for any blanket POs created.
- Ensures optimal utilization of linen service for the clinic including: lab coats, sheets, towels, gowns, curtains, rugs, mops, and other washable items
- Coordinate projects with department administrators.
- Arrange furnishings to be moved as needed with personnel moves. This involves physical moving of items and assembly of any acquired equipment.
- Schedules work with IT department and Network Telecommunication Services for phone and data requests.
- Maintains and schedules custodial project work in the building such as waxing, stripping, carpet and window cleaning.
- Shared responsibility in building document storage room. Works with other departments to coordinate confidential banker boxes for relocation off site.
- Setup special events or clinical functions within the building and other areas on campus as required. This includes our satellite clinics at St. Paul Coffey Hall, West Bank Wilson Library, Recreational and Wellness Center, and Minneapolis College.
- Clean, process, package, and sterilize reusable medical instruments for clinical operations.
- Supervise mail room and assist student staff in coverage.
- Backup other Building Services staff as needed.
Qualifications
Required Qualifications:
- BA/BS or at least four years of experience or a combination of related education and work experience to equal four years.
- Two years of experience in facility operations
- Two years of experience supervising staff
Preferred Qualifications:
- Knowledge of blueprints, work instructions, organizational methods, repair and maintenance of a variety of equipment
- Understanding of medical equipment and basic troubleshooting
- Knowledge of housekeeping methods, equipment, and supplies
- Demonstrated mechanical ability and knowledge of equipment, tools, and their uses
- Knowledge of building systems of similar scope and complexity as those of BH
- Excellent communication, collaboration, and organizational skills to allow effective interactions and problem solving with staff at all levels of the organization including the broader University setting
- An ability to deal with a diverse population that includes people from different cultural , ethnic, racial, sexual orientation, social, and economic backgrounds
