Full-Time Budget & Financial Aid Administrator

Job Description

Salary Range:$75,000.00 To 80,000.00 Annually

GENERAL DESCRIPTION:

Reporting to the Accounting & Finance Manager, this position assists with budgeting and forecasting for the organization, provides both analytical and technical support to colleagues, manages the organization’s financial aid process, and works on ad-hoc reporting and analysis as needed.  This role partners with Accounting Systems during the monthly close process and works closely with the Development team to develop funding solicitations and provide grant reporting.

 

RESPONSIBILITIES:

Budget and Forecast Administration

  • Actively participate in the annual budget and forecasting processes.
  • Develop revenue and expense models including detailed staffing models.
  • Serve as a resource for budgeting and forecasting support to budget preparers and key stakeholders.
  • Provide strategic reporting and analysis to support the decision-making process.
  • Track key information and follow-up items during budget meetings and work with the Accounting & Finance Manager to ensure follow-up items are completed.
  • Maintain planning templates, reporting file cabinet, and GL hierarchy within the budgeting platform (Planful).
  • Provide Planful technical support to users.

Financial Aid Administration

  • Maintain organization’s financial aid policy and process financial aid requests and inquiries.
  • Manage the collection of financial aid applications and supporting financial documentation.
  • Provide summarized applicant information with the recommended award as determined by the established financial aid matrix.
  • Maintain communication with financial aid applicants/families throughout the process.

Reporting & Analysis

  • Develop reports, dashboards and presentations to communicate timely information to key stakeholders.
  • Collaborate with Development to complete grant applications, grant reporting and government grant invoicing (DCYF, GFTA, NEA, Cal OES).
  • Track restricted contributed revenue to ensure that requirements are met.
  • Manage debt compliance and debt covenant requirements.
  • Analyze financial data and present financial reports in an accurate and timely manner.
  • Develop and maintain overhead allocation workbook.

Other Duties

  • Provide additional support to Accounting as necessary.
  • Provide ad-hoc reporting and analysis as requested.
  • Assist in annual audit as necessary.

REQUIREMENTS:

  • Four-year college degree in Accounting/Business/Finance
  • Minimum 5 years’ relevant work experience with at least 3 years of accounting experience
  • Non-profit industry experience preferred.
  • Strong understanding of Generally Accepted Accounting Principles and non-profit accounting
  • Experience preparing and analyzing financial data.
  • Experience using budgeting software.
  • Salesforce experience preferred.
  • Intermediate to advanced Microsoft Office skills (Outlook, Word, Excel, Sharepoint, Teams)
  • Experience collaborating with a team of professional contributors.
  • Demonstrated problem-solving abilities.
  • Ability to work in a dynamic environment with changing priorities.
  • Ability to manage multiple projects and meet deadlines with minimal supervision.
  • Demonstrated track record of accuracy.
  • Excellent communication and interpersonal skills
  • Must be a professional team player with excellent planning and execution skills and a strong attention to detail.
  • Must be fluent in written and spoken English.

WORKING CONDITIONS:

This job is primarily performed on-site at the JCCSF. Working conditions are typical of an office environment.

 

PHYSICAL REQUIREMENTS:

Physical requirements are typical of those needed in an office environment. Work includes standing and seated use of computers throughout the workday.
