Job Description
The successful candidate for the Administrative Coordinator is technologically savvy and will possess attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. This individual will need to work well in a team environment, be able to represent the group with professional courtesy and acumen and deliver flawless work output. Your daily routine also includes interaction with various internal and external clients.
The Administrative Coordinator will need to adapt procedures, processes, and techniques to complete assignments in line with the department’s activities and goals. Work is performed under indirect supervision. Has the ability to quickly sort through complex subject material and make timely and independent decisions in an ambiguous, fast-paced atmosphere. Seeks assistance and/or input from department manager and colleagues on an as needed basis.
Major responsibilities include but are not limited to:
- Maintain and regularly audit member enrollment data at corresponding vendor portal for applicable clients
- Manage and Own Access to all applicable Vendor Portals
- Process all Employee Navigator manual enrollments
- Monitor automated EDI and XML files weekly
- Send weekly change reports for bswift clients as needed
- Audit monthly enrollment activity independently
- Cultivate and maintain thorough understanding of group employee benefits as well as all internal systems to provide support to client service and implementation colleagues (4)
- Pull reporting from Benefits Administration systems and deliver to clients or colleagues
- Utilize internal CRM for recordkeeping
- Assist with the project management of seasonal initiatives of the Benefits Administration team
- Deliver templates and coordinate acceptance of client materials
- Review census data
- Assist in data integrity initiatives
- Manage workflow & assist with carrier integrations
- Assist in setup of EE Navigator Carrier Data Exchange Integrations
- Look for and help drive continuous process improvements/efficiencies by maintaining a thorough understanding of all internal systems
- Lead and create agendas for applicable client meetings
- Assist in sales and marketing activities as needed
- Responsible for special projects as assigned
Education and Experience
- A Bachelor’s Degree from a four-Year College or university or commensurate related work experience
- Solid technical background in benefits administration, HRIS, payroll, or similar
- Experience with employee benefits, HRIS administration, and open enrollment process a plus
Skills/Knowledge
- Must be proficient in Excel (VLOOKUP, Pivot Tables, Basic Functionality)
- Good written/verbal communication skills and the ability to communicate with both technical and non-technical personnel; ability to listen, clarify and respond well to questions
- Ability to operate and make timely decisions in an ambiguous, fast-paced atmosphere
- Must be able to quickly sort through complex subject material
- Strong analytical skill set
- High level of productivity, reliability, responsibility, attendance, dependability, organization, and accuracy/thoroughness
