Engineering IT Shared Services at the University of Illinois at Urbana-Champaign seeks applicants for an Audio-Visual Coordinator. The Audio-Visual Coordinator provides operational oversight for Audio Visual, Digital Signage, and Lecture Capture System support for the Grainger College of Engineering and individual departments. This position is responsible for service coordination, maintaining, supporting Audio Visual (A/V) technology such as projectors, cameras, microphones, etc. within instructional, conference, and collaboration spaces; lecture capture technology; as well as digital signage across the Grainger College of Engineering. This position reports to the Manager of Infrastructure in the IT Ops Division of Engineering IT Shared Services.
Duties and Responsibilities:
A/V Service and Team Management:
- Managing processes for the regular maintenance, replacement, upgrade and standardization of A/V technology across the College.
- As needed, supervising student employees, including the assignment of tasks, performance management, etc.; may also serve as a mentor/coach to junior staff.
- Ensures team’s service offerings continuously evolve to best serve the Grainger College of Engineering’s faculty, staff, and students.
- Advise and assist with the development of the AV Team’s budget as it relates to audiovisual, technical support and equipment needs each fiscal year.
- Oversee and coordinate day to day operational duties of the AV Services Team by performing ticket follow ups, escalating customer issues to IT Operations division management, and serving as the primary point of contact for AV services operations.
A/V Project Management:
- Coordinating the project life cycle for conference room, classrooms, and digital signage installations and upgrades.
- Consulting with units within the College on the design, purchase, and installation of A/V technology for instructional, conference, and collaboration spaces.
- Collaborating with the facilities staff to ensure efficient installation of AV infrastructure.
- Managing a diverse portfolio of multiple A/V projects, and ensure timely delivery of the end product.
- Assist in the designing of standard A/V system and services to fit the unique needs of the Grainger College of Engineering.
Customer Service and Support:
- Actively maintaining relationships with user community, proactively communicate relevant information, and stay informed of user’s needs and initiatives.
- Setting and managing the expectations of customers; act as an advocate for Engineering clients in service planning and deployment across the organization; and resolve customer satisfaction issues.
- Guide the College’s decision making process for the design of instructional and conference environments through the evaluation of cost tradeoffs, faculty/staff needs and AV technology trends.
A/V System Support:
- Analyzing functional and performance issues associated with use of A/V technology, collaborate with peers on possible solutions and implement corrective actions in a timely manner.
- Encouraging and providing training for best practices regarding the use of A/V Technologies.
Organizational Support:
- Leading virtual, project, or task-focused teams in Engineering IT Shared Services.
- Partnering with Engineering IT customer support staff on the support of A/V technology.
- Working with Engineering IT and departmental staff to provide A/V support for occasional high profile events, which may occur outside business hours.
- Collaborating with other campus Audio Visual technicians to enhance the overall support of AV for the Grainger College of Engineering.
Other Duties as Assigned
Minimum Qualifications
- Five (5) years of progressively more responsible work experience in an Information Technology (IT) related profession.
- College course work which included Information Technology (IT), IT Management, or a closely related discipline, may be substituted as follows:
- 60 semester hours or an associate degree equals one (1) year
- 90-120 semester hours or a bachelor’s degree equals two (2) years
- 150-170 semester hours or a master’s degree equals three (3) years
- Experience in a supervisory or lead employee capacity which included hiring, training, and managing students or staff.
- Demonstrated experience working in a customer service environment.
- Experience in troubleshooting common desktop and mobile computing applications and hardware.
Preferred Qualifications:
- Two (2) years of experience with A/V technology support, including projectors, microphones, cameras, digital signage.
- Experience in managing operation budgets and inventory.
- Two (2) or more years’ work experience hiring, training, and supervising students or staff.
- Experience in technology at an institution of higher education or equivalent.
- Experience in project management concepts, such as generating project timelines, drafting project charters, creating stakeholder communications plans, and tracking action items.
- CTS, Extron, or Project Management training, license, or certification.
Knowledge, Skills and Abilities:
- Demonstrated knowledge managing student or professional employees
- Ability to lead project or task-focused teams to successful deliverables
- Extensive knowledge of current technology and software for production and display of multimedia content (e.g. cameras, mixers, projectors, digital displays, Fourwinds).
- Knowledge of presentation/lecture capture systems (e.g. Extron).
- Familiarity with A/V technology, setup, and coordination for large and/or remote events.
- Familiarity with enterprise tools or services such as endpoint management, imaging, or centralized solutions.
- Familiarity with instructional or collaborative space design.
- Familiarity with tools, concepts, and resources associated with project management and related activities.
- Excellent customer service skills
- Excellent oral and written communications skills
- Ability to contribute strongly to cross-functional groups assigned to tasks or project work.
- Ability to oversee and coordinate activities of user groups
- Ability to effectively communicate and professionally interact with all staff levels and customer groups
- Ability to identify and resolve technical problems
- Ability to demonstrate fundamental knowledge of effective troubleshooting methodologies
APPOINTMENT INFORMATION
This is a full-time Civil Service Information Technology Technical Associate position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The minimum salary for the Audio-Visual Coordinator is $69,000 and is commensurate with experience and qualifications. Employees hired into this position will be expected to work onsite on a full-time basis.
