Full-Time Attractions Operations Coordinator

Job Description

Objective

To assist the Director of Attractions in serving as the liaison between Account Managers and sightseeing / entertainment destinations, through coordinating attractions requests and effectively managing the flow of information from Account Managers and suppliers. Assist in maintaining a strong relationship with suppliers and Account Managers through consistent and meaningful contact.

To assist the Director of Attractions in serving as the liaison between Account Managers, Accounts Payable and sightseeing destinations, through coordinating the process of attraction invoices and effectively managing the payment of these invoices through the Accounts Payable team. To function as a contributing member of the Operations Division through effective communication and assisting others as needed.

Qualifications

College degree preferred. Minimum of two years experience working in an office environment displaying excellent organizational ability, attention to detail, and dependability. Ability to efficiently process paperwork and function in a fast paced, team oriented office environment.

Strong verbal and written communication skills. Strong organizational skills and the ability to multi-task effectively and with a high degree of accuracy. Ability to visually proof documents and insure accuracy. Occasionally travel out of town and operate in a variety of public environments. Professionally communicate and represent the company with suppliers.

Essential Functions
1.Process and confirm attraction requests accurately and on a timely basis.
2.Maintain familiarity with sightseeing destinations, entertainment venues, other requested sites to serve as an effective resource for Account Managers and other staff.
3.Maintain timely and meaningful communication with Account Managers.
4.Maintain effective communication with Director of Attractions.
5.Proactively research new sites and attractions and add to Contact Manager once confirmed.
6.Verify reports and send to suppliers on a weekly basis.
7.Keep all site / attraction information up to date in Tour Guide.
8.File and process all invoices based on due dates.
9.Email Account Managers to obtain accurate counts for attractions in order to process invoices if applicable.
10.Liaison between Director of Attractions and suppliers to purchase additional tickets for late adds and employee ride a-longs when necessary.
11.Communicate any issues or questions with invoices to Director of Appointments
12.Process invoices in Accounts Payable System.
13.Work closely with Accounts Payables providing them with any additional information as needed
14.Prepare appropriate financial reports.
15.Proactively seek opportunities to strengthen relationships with Account Managers and suppliers through effective communication and a desire to provide exceptional customer service.
16.Support Tour Central with on tour issues for attractions when needed.

Additional Responsibilities
1.Look for ways to maximize assistance to Director of Attractions and other team members by taking on additional assignments.
2.Continually seek out ways to improve internal systems for efficiency and usefulness.
3.Available for On-site coordinating for a few nights during the year (not to exceed 6 nights).
4.Additional duties may be assigned.

Standard Department Member Responsibilities
1.Facilitate and/or perform training of staff members as requested. Establish and update a training manual covering all functions of area of expertise.
2.Maintain accurate and up-to-date documentation for all attractions.
3.Foster communication within the department, with other departments and with management.
4.Maintain knowledge of company policies and procedures to serve as an effective staff member.
5.Support company policies and management decisions with a sense of urgency and professionalism.
6.Seek out and participate in internal and external programs that facilitate personal and professional growth.
7.Track days off; write and deliver self-performance appraisals to the Director of Attractions on an annual basis.
8.Identify and discuss personal and professional growth goals with the Director of Attractions and upper management.
