JOB DESCRIPTION
FIRST is seeking a highly professional and technologically adept Associate Event Technology Manager to provide support to clients needing assistance with their data and registration requirements as it relates to events.
The incumbent will be in charge of one of the most important aspects of event planning: managing the invitation and rooming lists using advanced knowledge of Microsoft Excel. The individual must be comfortable assisting clients over the phone in navigating registration websites, so prior experience as a customer support or help desk representative (or similar experience) is a plus. This role will be supporting the event project managers with registration as well as mentor/manage junior team members.
RESPONSIBILITIES:
- Developing and managing online event registration portals including building registration websites
- Database management to ensure consistency of information, accurate data, inputting when required, generating lists upon request
- List manipulation to provide team members with relevant registration data, year on year statistics, and insight into varied elements and event analytics
- Work within Mobile App platforms to develop and manage customized event-related apps
- Creating and distributing online surveys, electronic invitations, and other registration-related communications
- Assist attendees with registration process
- Responding to all client email within the same day (even during work travel)
- On-site support, as needed, during event execution
- Mentor new team members
- Provide input/feedback on big picture opportunities, issues, and challenges within the organization
- Be aware of and manage any problems or issues which negatively affect productivity
- Ensure the team is providing value for money to clients and seeking value adds where possible
- Encourage and motivate the team to be knowledgeable of best practices and be proactive with ideas and creative solutions
- Ensure team adheres to standard operating procedures and compliance processes in addition to maintaining comprehensive event files and keeping precise records to ensure smooth transition between team members if necessary
QUALIFICATIONS:
- 3 –4 years’ related experience in Data Management and Event Technology including entry level meeting planning and coordination
- Bachelor’s Degree required
- Strong working knowledge of Cvent is required
- Strong proficiency with Microsoft Excel
- Prior experience with other event platforms such as StarCite, Eventbrite, etouches or other registration website platforms is preferred
- Experience managing direct reports is preferred but not required
- General knowledge of HTML and CSS is beneficial but not required
- Ability to manage multiple projects simultaneously
- Highly motivated, able to work independently
- Exhibit strong work ethic, patience and a winning attitude
- Strong oral and written communication skills
- Flexible and willing to work outside normal business hours (evenings, weekends) and travel when required
