 WHAT YOU’LL DO:

PRIMARY FUNCTION: The Associate Director of Enrollment Management will be responsible for overseeing the entire lifecycle of the family enrollment process in our two educational centers within YWCA Kalamazoo. This position will utilize knowledge of licensing rules to deeply engage with families from initial contact to the exit process. In this role, the Associate Director of Enrollment Management will utilize trauma-informed practices to have a deep understanding of the community served by YWCA and be able to meet their distinct needs through a passionate desire to serve.

Qualifications:

  1. Bachelor’s degree in human services related field, such as social work, human services, family services, or early childhood required.
  2. Minimum of 3 years working in an early childhood role, specifically working with the family enrollment process.
  3. Must pass criminal, child abuse and neglect, and sex offender background checks.
  4. Supervisory experience leading others to achieve tasks and business objectives.
  5. History of leading strategy, developing policies, and implementing programs and initiatives.
  6. Proven project/program management success, demonstrated ability to organize systems, follow routines, and respond to change as needed.
  7. Understanding of the complex, interrelated issues and concerns contributing to health disparities, racial oppression, and gender inequities preferred.
  8. Effective oral and written communication skills.
  9. Effective organization and project management skills combined with flexibility, attention to detail, and multi-tasking.
  10. Ability to initiate and cooperate, working alone or with a team.
  11. Ability to demonstrate trauma-informed responsiveness to delicate or time-sensitive situations
  12. Demonstrated ability to work well with people from diverse backgrounds (e.g. various ages, backgrounds, life experiences, communities).
  13. Ability to make sound decisions and respond capably in stressful situations, and to understand and work within organizational structure, policies, and procedures

Responsibilities:

  1. Oversees entire enrollment process from initial contact to program exit.
    1. Schedules and conducts tours and intake interviews
    2. Maintains and manages waitlists
    3. Produces monthly enrollment and scheduling reports
    4. Creates and supplies enrollment packets
    5. Orients families to YWCA Kalamazoo programs, practices, and philosophies
  2. Manages enrollment team members through the enrollment process. Offers support and guidance when required.
  3. Understands and participates in creating annual budget and supports Finance in monitoring monthly expenses.
  4. Engages in intentional partnerships with families throughout the enrollment process.
  5. Works with Early Learning Coaches and Associate Directors to ensure accurate data collection and entry to support Improving the Lives of Children initiatives.
  6. Demonstrates a high level of integrity with all interactions both within the community and throughout the YWCA organization.
  7. Commits to increasing family enrollment through offsite community events, activities, and engagements.
  8. Coordinates family social, recreational and/or educational activities with coordinators.
  9. Engages in solution-driven problem-solving techniques to solve complex issues.
  10. Possesses the ability to make independent decisions for that align with the core believes of YWCA and are in the best interest of our clients
  11. Works collaboratively with other department directors as part of the management team. Provide support and expertise wherever needed within YWCA Kalamazoo departments and processes.
  12. Ability to use critical thinking to think outside traditional processes.
  13. Safeguards confidential information gained because of the position. Demonstrate professionalism, reliability, good judgment, tact, personal integrity, poise, and ability to manage and prioritize in a multiple-demand position.
  14. Remains flexible and manage changing priorities on a continuing basis.
  15. Understands the importance of details and complex processes
  16. Knows and adheres to Association policies, procedures and practices and be able to communicate the same to others as needed.
  17. Complies with Association policy regarding required reporting of suspected child abuse.
  18. As a YWCA employee, projects a positive image of the Association and its programs to the community, the Association, and the program.
  19. Works cooperatively with program participants, YWCA staff and volunteers.
  20. Performs other duties as assigned.
