We are currently hiring for the position of:
ASSISTANT, VOLUNTEERS
Reporting to the Senior Manager, Audience & Community, the Assistant, Volunteers will provide administrative support to the Volunteer Office in preparation for the 2022 Festival by assisting with the recruitment, training, scheduling, and supervision of Festival volunteers.
RESPONSIBILITIES:
- Provide ongoing administrative support in a busy office environment including: responding in a timely and tactful manner to a high volume of emails, phone calls and in-person inquiries; and formatting departmental records (Excel spreadsheets, Google Docs and volunteer management database)
- Accurately manage all departmental database information including maintenance of volunteer service records, volunteer schedules, performance notations and account updates
- Contribute to the development of surveys, orientation and training materials – including, but not limited to, generating content in Keynote, Microsoft Word and PowerPoint and Adobe PDF
- Assist in facilitating volunteer orientation and training sessions, including communicating TIFF Volunteer Programme information to large and diverse audiences
- Oversee individual portfolio of specific volunteer teams, including liaising with inter-departmental stakeholders on position descriptions and schedules, assembling the appropriate volunteer members for each team, and ensuring that all positions are adequately filled
- Create a comfortable, inclusive and welcoming atmosphere where all staff and volunteers feel appreciated and engaged
- Assist Volunteer Office team with administrative tasks as requested
- Prepare a detailed post-mortem report before the end of the contract
JOB GRADE & RATE OF PAY
- Job Grade 1
- $18 /Hourly
CONTRACT DATES:
- June 27, 2022 to September 23, 2022
- July 25, 2022 to September 18, 2022
MINIMUM REQUIREMENTS:
- Highly proficient computer skills (knowledge of Keynote, Word, Excel, Gmail, Google Docs, InDesign, etc.) Experience with basic video production and editing (i.e. iMovie, PremierePro) is an asset
- Proven experience working with contact or scheduling databases. Experience with an online volunteer management tool is an asset.
- Excellent communication skills (email, in-person and telephone)
- An exceptional eye for detail
- Able to oversee multiple projects at one time and adapt to changing priorities
- Comfortable working in a fast-paced, open-concept environment
- Comfortable presenting to and engaging with large groups of volunteers and staff in a personable and professional manner
- Able to accommodate a flexible work schedule, evening and weekend work is required
- Must be available for all 11 days of the Festival (September 8–18, 2022)
