We are currently hiring for the position of:
ASSISTANT, INDUSTRY SALES & SERVICES
The Assistant, Industry Sales and Services will provide essential administrative support to the Industry team including departmental financial tracking, data entry for sales, promotional and business services as well as various industry programming initiatives.
RESPONSIBILITIES:
- Oversee monthly financial reconciliation process, reviewing expense and revenue reports.
- Coordinate Industry’s annual advertising schedule with 14+ trade magazine partners
- Schedule and organize the distribution of trade magazines at Industry venues during Festival
- Support the sales of Industry events and advertising and promotional opportunities related to festival.
- Submit content, design and web change requests
- Submit and track creative requests for industry brochures, guides and campaigns.
- Coordinate pass exchanges with over 35 festivals
- Oversee the departmental general inquiry email addresses providing customer service to industry professionals.
- Coordinate special guest lists and ticketing offerings for year-round and festival related events
- Oversee departmental volunteer requests
- Provide administrative support to the sales and services team as needed
RATE OF PAY:
- Job Grade 1
- $18.98/Hourly
CONTRACT DATES:
- July 4, 2022 to September 30, 2022
MINIMUM REQUIREMENTS:
- Post-secondary degree/diploma (in Film Studies or a related area considered an asset)
- Minimum 1 year experience in an office environment
- Excellent organizational skills and a keen eye for detail
- Precise memory for names, positions, companies and situations
- Mature personal judgment, exhibiting a high level of professionalism and diplomacy
- Able to handle difficult situations and people with tact and professionalism
- Excellent phone manner, communication fluency and interpersonal strengths
- Advanced knowledge of Microsoft Office Suite, specifically Excel, Google Suite, and relational databases (experience with Artifax considered an asset)
- Ability to work both independently and in a team environment
- Desire and ability to take initiative and coordinate projects
- Ability to work and respond well in fast-paced and high pressure environments with a flexible schedule, including evenings and weekends
- Fluency in a second language considered an asset
- Previous festival or event planning experience considered an asset
- Adaptable to a flexible work schedule including some evenings and weekends
