Position Summary
Reporting to the Senior Associate Director, the Assistant Director plays a key role in the overall operations of the Columbia College Human Resources team as the team takes on all HR activities and initiatives for the entire College employee population. The Assistant Director exemplifies a proactive, customer-centered HR philosophy and contributes to the College’s continual strive to achieve excellence, collaboration and efficiency. The Assistant Director will work with a diverse set of departments that includes the Dean’s Office, Undergraduate Student Life, the Enrollment Group, Center for Career Education, Center for Student Advising, Academic Affairs, Alumni Relations and Development, Undergraduate Global Engagement, and the Double Discovery Center.
Responsibilities
- Partners with unit managers on all aspects of the recruitment process, consulting with HR leadership for guidance as necessary, including review and evaluation of job descriptions ensuring parity and appropriate classification and salary range, and facilitating approval through University processes. Provides guidance for recruitment strategies and best practices relating to resume review, candidate interviews, reference checking, finalist selection, offer negotiation, and onboarding.
- Interacts with all levels of College management and staff regarding a variety of HR issues by responding to employee inquiries and interpreting policies appropriately, building rapport and credibility as a trusted resource. Works with leadership to communicate relevant policy updates to employees and managers, creating useful tools as needed.
- Manages onboarding and offboarding of employees, including working to enhance the employee experience and HR processes.
- Oversees the payment process for employees, including approving payroll, troubleshooting any complex payroll issues, and reconciliation to ensure correct accounts are charged. Takes the lead in the role CCHR plays with the University’s time and absence management system and processes.
- Initiates and/or approves HR transactions in the University’s HRIS system, including confirmation/problem resolution to ensure accurate completion. Supports the overall organization of HR records and compliance with document retention policies. Maintains relevant employee lists and databases.
- Manages leaves of absence and accommodations including employee consultations, liaising with the University’s Leave Management office, and record keeping.
- Supports the annual compensation and promotion process for the College, including roster creation and related activities.
- Under the direction of leadership, develops and maintains reports and/or spreadsheets; analyzes data for all areas of the employee life cycle to identify trends and patterns and HR needs to support workforce planning. Works on ad hoc projects as assigned.
- Performs other related duties as assigned.
Minimum Qualifications
- Bachelor’s degree or equivalent required.
- Minimum of 2 years of relevant experience required.
- Excellent oral and written communication and interpersonal skills are necessary.
- Exquisite attention to detail and a high level of accuracy are required.
- Must be organized and task-oriented with the ability to establish priorities and follow up on multiple issues in a time-sensitive manner.
- Skilled at working under pressure and with minimal supervision, juggling competing demands, and exercising sound independent judgment required.
- Ability to demonstrate a high degree of professionalism and ethical behavior, diplomacy, discretion, firmness, and collaboration in dealing with individuals at all levels.
- Strong analytical and problem-solving skills necessary.
- Excellent computer skills including thorough knowledge of Microsoft Office (Word, Excel, PowerPoint, and Visio) and Google Mail, Docs, and Sheets, including knowledge of databases and advanced spreadsheet skills required.
- Must be able to quickly acquire knowledge of University policies, procedures, and systems.

Preferred Qualifications
- Advanced degree or training with an HR focus.
- Working knowledge of Columbia’s Human Resources policies, procedures, and systems including PeopleSoft application and TalentLink.
- Previous direct involvement in performance management activities is preferred.
- Experience with data maintenance, reporting, and analysis desired.
Salary Range: $61,500 – $72,000
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
