Full-Time Assistant Director of Academic Administration

Posting Summary:

The Department of Human Development at Teachers College, Columbia University is seeking a candidate to fill the role of Assistant Director Academic Administration (ADAA). The position requires close collaboration and a collegial relationship with the Department of Human Development’s Director of Academic Administration (DAA) in a fast paced, professional environment.

Reporting to the DAA, the ADAA must be detail-oriented, comfortable with complexity and able to handle confidential information responsibly. The incumbent must be a team leader who can work independently with minimal direct supervision but able to report to the Director regularly and completely.

Job Summary/Basic Function:

Budget & HR Administration

    • Assist the Director in reconciling various budgets, with an emphasis on student/adjunct salary lines, including maintaining spreadsheets to track various operating expenses, preparing budget transfers, generating electronic employee transactions and listings, overseeing departmental HR onboarding processes and reviewing monthly payroll.
    • Serve as departmental HR liaison by preparing and submitting job requisitions and other employee transactions such as PAFs/ePAFs for all part time instructional staff, student and interim academic appointments.
    • Assist with the submission and reconciliation process of budget transfers, expense transfers, and late paper timesheets for all academic appointments.
    • Send out appointment letters and onboarding notices for new and continuing academic positions including but not limited to part time adjuncts, instructors, course assistants, and teaching assistants.
    • Assist with needs related to classroom and special space requests.
    • Assist in resolving Payroll related issues.
    • Serve as department proxy to approve timesheets for various interim, faculty work study, departmental work study, and part time professional staff members.
    • Manage Federal Work-Study funds, track usage and provide reports. Liaise with Financial Aid when necessary.
    • Facilitate hiring process of federal work-study and academic interim employees requested by faculty.
    • Submit required termination paperwork after each job completion.
    • Support to Department Chair
    • Assist department chair and DAA with special projects, student/course reports, student annual reviews, assist in streamlining processes.
    • Assist with outreach to department faculty regarding meetings and other special events
    • Assist with the scheduling and set up of all Department faculty meetings.
    • Help schedule, set up, and where necessary attend all special Human Development events.
    • Send out important announcements on behalf of the Department.
    • Assist with the management of Faculty Tenure and Reappointment reviews including surveys of former students.

Faculty and Programming Support:

    • In conjunction with program directors, manage student advisement and degree audit completions.
    • Work closely with program directors to develop and execute academic policies and operations.
    • Assist faculty with Admissions cycles of new students.
    • Act as Visiting Scholar Representative for Department, onboarding all new scholars for the Department.
    • Assist with all financial aid planning and distribution matters (including departmental information sessions and Prospective Student Visiting Day).
    • Collect, distribute, and organize all New Program & Course proposals.
    • Maintain and organize a variety of digital records (ex. spreadsheets, emails, electronic publications, etc.).
    • Manage and oversee the updates to faculty related news, events, and profiles on the departmental website.
    • In conjunction with Admissions and Financial Aid liaisons, provide prospective students with appropriate feedback regarding admissions processes for all departmental programs.
    • In conjunction with Admissions and Financial Aid liaisons, devise, plan, and attend possible admissions events for all departmental programs.
    • Assist with paperwork related to external grants including assisting DAA with processing of invoices, hiring forms, and special documents.
    • Assist with the financial aid and admissions process for each departmental program while meeting appropriate deadlines.

Administrative Team supervision

    • Supervise, train, and hire Academic Secretaries, departmental work study, and any additional interim or part time hires; providing them with updated projects, initiatives, and assistance where needed.
    • Supervise the course scheduling, including overseeing the updates and completions to the RAPOS system.
    • Assist with the collection of updates for the academic catalogs each year.
    • Manage and assist with the department’s website and social media administration.
    • Assist team with all departmental and special events.
    • Assist team with all student databases, outreach, and communication.
    • Address student concerns, issues, and questions.
    • Assist in the onboarding process of new lecturers and tenure track faculty.

Other duties as assigned

Minimum Qualifications:

    • Bachelor’s degree or the equivalent in education, training and experience.
    • Two years of experience in a budget and/or administrative role.
    • Experience with supervision of staff.
    • Numerical competence/confidence.
    • Strong computer skills and experience with career-related software (e.g.
      Microsoft Word, Excel, PowerPoint, Google Suite, etc.), as well as the ability to
      use web based technology.
    • Ability to efficiently maintain and prepare spreadsheets via Excel.
    • Excellent communication and writing skills with student services background.
    • Proficiency with computing technology, spreadsheet creation, and word processing.
    • Highly proficient in database development and maintenance; website and social media updating.
    • Ability to multitask efficiently.
    • Excellent oral and written communication.
    • Ability to abide by Confidentiality Agreement.
    • Familiarity with hiring administration and management.

Preferred Qualifications:

    • Familiarity with database applications (Banner, APEX, etc.).
    • Evidence of excellent organizational and communication skills.
    • Special events administration experience.
    • Course scheduling administration experience.
    • Familiarity with admissions, financial aid, and human resources.
    • Master’s Degree.

Salary Range:

$70,000 – $80,000
