Full-Time Administrative Coordinator (BPCCC/FOG)
Job Description

We are looking for an Administrative Coordinator (BPCCC/FOG) to join our team and support our Backflow Prevention and Cross Connection Control (BPCCC) and FOG (fats, oil, and grease) program. Both of these programs are critical to public and environmental health as a solid backflow program protects public drinking water and FOG programs are critical to keeping destructive pollutants from entering our collections system and watershed.
This is an exciting time for this team as our FOG program, as it is in its infancy and this role will be involved in getting this program off the ground- so there is plenty of opportunity to make your mark on a community focused program.

THE DAY TO DAY:
This role will primarily be responsible for a wide variety of administrative, clerical, and secretarial task and responsibilities including:
- Plans, coordinates and organize office activities and coordinates flow of communications and information; assures smooth and efficient office operations.
- Maintains calendars and arranges, schedules, and confirms meetings, service calls, site visits and other gatherings for the public, unit staff and/or management; prepares meeting agendas, takes notes, and may facilitate routine meetings.Orders and keeps inventory of supplies, materials, and equipment as needed.
- Performs liaison functionsto provide information and technical assistance to the public as well as other agencies and organizations; communicates with various groups to provide detailed information regarding division/unit and program policies and procedures; receives calls and handles inquiries regarding program functions and responsibilities; researches and responds to requests.
- Creates and maintains databases of records, projects, and accounts; creates standard statistical spreadsheets; designs and revises forms, charts, graphs, and presentations; enters and revises data in databases.
- Creates reports, correspondence, memoranda, requests, forms, templates, surveys, rosters, lists, statistical charts, and other specialized documents involving data manipulation; prepares and revises procedural and instructional guides, manuals, policies, and procedures.
- Formats, edits, revises, proofreads, and prints written communications to ensure they are complete, accurate, and adhere to organizational requirements concerning grammar, form, and style.
- Provides clerical and administrative support for special projects or initiatives as directed by more senior staff.
QUALIFICATIONS
- High school diploma or general education degree (GED); and a minimum of one year of administrative work
- Proven communication (both verbal and written) & customer service skills and the ability to work productively with minimal direct supervision.
- Enthusiastic and willing to help others. Committed to resolving issues and following up. Positive attitude to complete important but occasionally repetitive or semi-skilled tasks. The ideal candidate sees the big picture in how their work plays into the organization as whole.
- Excellent time management and organizational skills are essential to the role as well as an ability to manage a large variety of tasks and deadlines in a positive and productive manner.
- Must be a people person with a proven ability to establish and maintain highly effective relationships. This role will need to develop and maintain strong relationships with executives, managers, elected and appointed officials of other public agencies, business leaders, community organization representatives, and the public. Must have the ability to enthusiastically interact with employees, and managers at all levels within the organization as well as maintain a high level of
- Able to maintain confidentiality and appropriately communicate sensitive information with tact and Knows when to ask for help and seek resources for support in resolving issues. Ability to work independently, multitask and follow up with questions, complaints, or suggestions.
- Must possess a valid Colorado Driver’s license within 30 days of employment and be insurable under District’s standards.
How to Apply
Compensation The range for this role is $24.18 - $33.86 hourly. Hiring wage will depend on qualifications and experience, but typically falls within the minimum and midpoint of the pay range. Schedule and Work Location This role will be based out of the Vail Administration Building and can work a hybrid schedule (2-3 days a week on-site and 2-3 days a week remote). The schedule will be five eight (8) hour shifts with some flexibility in start and end times.
