Full-Time Administrative Associate II
Job Description
- Prepare documents and correspondence for construction projects.
- Enter construction documents in our SharePoint and HICAMS systems.
- Prepare monthly construction meeting minutes.
- Review certified payrolls.
- Answer District phones daily and Division phones during lunch/when needed.
- Scan files and large plans.
- Perform filing and maintain construction files.
- Assist the public with requests by email, phone, and walk-in contact.
- Perform other clerical duties.
- Assist with the processing of driveway permits, road addition/abandonments, site plans, and subdivisions.
- Customer service experience, including resolving customer issues.
- Computer experience with Microsoft Office, including Outlook, Word, and Excel.
- Experience completing and/or maintaining records and reports.
- Record keeping experience.
- Experience with letter writing, using correct spelling, punctuation, and proofreading.
- Effectively communication skills to convey technical knowledge with engineers, coworkers, and the public.
- Good communication skills (verbal and written).
- General math skills and significant vocabulary/grammar skills for proofreading correspondence, reports, and other documents.
- Ability to schedule and coordinate appointments, meetings, and conferences.
- Ability to safely drive a state vehicle.
- Customer service experience (phone, personal, and electronic) is strongly preferred.
- Excellent composition skills, attention to detail, and consistency with data entry and correspondence.
- Management prefers a candidate with customer service experience and a personable attitude.
- Ability to work in an inside environment, including being exposed to significant sitting for long periods of time.
- Strength to lift 25 pounds.
- High school/GED diploma, and
- 1+ year of administrative experience; or
- An equivalent combination of education and experience.
