Administrative Assistant to Director, Strategy & Transformation
Office of CAO, Strategy & Transformation
Status: Contract Full Time, 13 months
Salary Range: $54,969 – $68,713 per annum + comprehensive benefits

Location: 10 Peel Centre Drive, Brampton
Hours of work: 35 hours per week
Who we are: The Strategy & Transformation division plays a key role in advancing strategic and organizational priorities including the Region of Peel Strategic Plan, Corporate Performance Management, Project Management and Business Process Management.
What you will do in this role:
- Prioritize, coordinate and schedule appointments, meetings, travel arrangements and deadlines for the Director
- Organize and maintain appropriate reports, files, systems and documentation and actively manage a follow-up system to ensure that work proceeds in a smooth fashion
- Manage information and paper flow ensuring appropriate handling of incoming mail, requests, and reports
- Conduct routine research as required and respond to complaints, routine correspondence and requests from employees as well as external and internal stakeholders
- Prepare and/or review standard correspondence and edit, produce and format reports, memos, e-mails, presentations and other documentation for the Director
- Support Strategy and Transformation Divisional Management team meetings by scheduling meetings, preparing agendas, developing minutes, and maintaining pending action list
- Serve as back up support to administrative assistants within the division
- Provide highly confidential support, liaising with internal and external contacts and Members of ELT and Regional Council
- Prepare and process employee paperwork
- Undertake financial reconciliation of expenses and process invoices for payment
- Process purchasing card reconciliations, requisitions and express purchase orders
- Maintain continuous awareness of Departmental and Divisional priorities, corporate administrative systems, policies and procedures
- Practice a high degree of confidentiality, discretion, tact and diplomacy
- Anticipate needs by approaching and looking for new innovative approaches to work
- Other duties as assigned
What the role requires:
- Successful completion of post-secondary administrative studies program
- Minimum of three years relevant experience
- Combination of education and experience may be considered
Skills/Abilities:
- Strong communication and conflict resolution skills
- Proficiency in MS Office applications, including Word, Excel, PowerPoint, Visio; and Sharepoint EIM and PeopleSoft
- Strong time management and organizational abilities
- Good interpersonal skills and committed customer service focus
- Solid understanding of the organization and Council
- Ability to work within a political environment, demonstrated political acuity
- Demonstrated critical thinking skills
- Ability to deal with shifting priorities
- Ability to compile, organize and analyze information
- Ability to work independently with minimal direction and meet strict deadlines
- High degree of professionalism, confidentiality, discretion, tact and diplomacy

Work Mode & Job Location: In this role you will have the ability to work remotely and attend on-site when required based on operational requirements at the 10 Peel Centre Drive, Brampton worksite. The frequency of on-site activities may vary on a weekly basis and based on operational requirements. Your remote work location must be located within the province of Ontario.
Hours of Work: 35 hours per week. The Region of Peel offers job based flexible hours of work that allows employees to manage personal and professional responsibilities while at the same time ensures business operational needs and customer service expectations are achieved.
