The Theatre Department consists of four full-time faculty members, approximately 15 part -time faculty members and enrolls approximately 80 majors. The Department of Dance has 3 full-time faculty and 5 to 7 part-time faculty and enrolls approximately 40 majors. The Department of Dance routinely hires each semester guest artists to choreograph and/or to teach special topics classes and workshops. In the Theatre Department the administrative assistant will report to the chairperson. In the Department of Dance the administrative assistant will report to the chairperson.
Position Summary:
The Administrative Assistant I will serve as the initial contact for internal and external clients, responding to inquiries via phone, in person and email; administrative matters regarding academic affairs, student needs, faculty concerns, and budget/scheduling issues. The Administrative Assistant presents a positive, professional, knowledgeable and accessible representation of the department.
This is a shared position with 50% assignment to the Theatre Department and 50% to the Department of Dance. Supervision will be provided by the Theatre chairperson and the Dance chairperson.
This is a full-time, 12-month, AFSCME position
Tour of Duty: 8:45 a.m. – 5:00 p.m. Monday through Friday
(Saturdays and Sundays as days off)

This position is located on campus in Bridgewater, MA. This position is eligible for hybrid / remote work in accordance with BSU remote work policy.
This is an AFSCME unit position and is subject to the terms of that union agreement.

Essential Duties:

• Respond to office inquiries, via phone, in person or email.
• Assist Department Chairpersons and Faculty with verification and data entering of course schedules.
• Assist the Department Chairpersons with the organization and facilitation of major department events.
• Assist the Department Chairpersons with the contracting and hiring of vendors and guest artists for classes, workshops, dance concerts, and theatre productions.
• Coordinate departmental events by reserving required facilities, taking RSVPs, ordering food and beverage items, and notifying appropriate individuals of dates, times and locations.
• Coordinate monthly department meetings, record minutes, and prepare necessary materials.
• Monitor and maintain budgets for travel and professional development.
• Monitor and maintain budgets for dance concerts and theatre productions.
• Monitor usage, reconcile charges, and maintain appropriate records for department procurement card.
• Update and maintain both Departments’ web pages and social media platforms.
• Maintain inventory of office supplies and order supplies as needed.
• Maintain department files and information databases.

• Knowledge of or experience in performing arts administration.

• Proficiency with or ability to learn a variety of software platforms including the MS Office Suite, Banner, Blackboard, InfoBear, or equivalent systems and social media platforms.
• Ability to work with spreadsheets.
• Proven ability to use software for record keeping, document preparation and reporting.
• Strong written and oral communication skills.
• Ability to maintain appropriate timelines for assignment to two departments.
• High level of attention to detail.
• Ability to effectively manage competing responsibilities and multiple projects.
