Full-Time Administrative Assistant for Facilities
Job Description
Elmira College is a private liberal arts College located in the Finger Lakes region of New York. Seeking innovative professionals from diverse backgrounds to fill the position of Administrative Assistant to join the Facilities Management team.
The Administrative Assistant acts as initial contact for the Facilities Management division and performs administrative support such as clerical duties and data entry. The Administrative Assistant primarily performs specialized and routine tasks of a support nature requiring knowledge of several departments, department activities, policies, and general office processes and procedures. Work performed is within general office parameters.
ESSENTIAL FUNCTIONS:
- Maintaining heavy, complex, and frequently changing calendars and coordinating meetings;
- Maintain and disburse work orders from the work order system;
- Assist staff with Facilities Management software and use;
- Creating and modifying presentations, spreadsheets, and other various documents;
- Greet and assist all visitors with professionalism;
- Compiling and maintaining databases;
- Vendor management: Requesting proposals or modifications in work from contractors or vendors;
- Maintain all lease agreements with tenants that reside in campus owned properties (other than dormitories);
- Liaison for Facilities Management to other departments, in addition to Local and State Agencies;
- Parts ordering for the Facilities Management Division.
QUALIFICATIONS:
- Up to 12 months related experience, preferred;
- High school diploma or GED;
- Valid driver’s license.

BASIS OF PAY: Hourly

WORKING CONDITIONS: Work is performed primarily in a standard office environment with frequent public contact and interruptions. Primary functions require sufficient physical ability and mobility to work in an office setting; to sit for prolonged periods of time; to occasionally stoop, bend, kneel, reach, and twist; to carry, push and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard. Work schedule may include some nights, weekends, and holidays, as needed.
