Job Description

The Administrative Assistant role with Bluewave Law plays a crucial role in ensuring the smooth operation of the office, with a focus on supporting the team with a variety of task.

Responsibilities

  • Warmly greeting visitors and clients upon arrival, ensuring their comfort and offering refreshments. Thoroughly sanitizing meeting spaces and common areas after each use;
  • Assisting with document preparation by formatting documents, creating presentations, and conducting thorough proofreading for accuracy and clarity. Organizing files both physically and digitally, ensuring easy retrieval and confidentiality;
  • Managing and updating contact lists regularly, including client databases, contacts, and internal directories. Ensuring all information is current and accurate;
  • Conducting in-depth research on various topics using online resources, databases, and the company’s manual archives. Summarizing findings and compiling comprehensive reports as required;
  • Proactively monitoring of office supplies inventory, placing orders for replenishment, and maintaining organized stockrooms. Coordinating repairs and maintenance for office equipment to ensure smooth operations;
  • Providing comprehensive administrative support to the team, including scheduling appointments, managing calendars, and making event arrangements. Assisting with expense reporting and reimbursement processes if needed.
  • Ensuring accurate time entry for the lawyer’s billing purposes;
  • Responding to client calls, taking all necessary information from them, and providing information about pricing and services that we can provide. Then, passing this information to the manager for further action;
  • Undertaking additional clerical and administrative tasks as assigned, such as data entry, mail sorting, and reception duties, to ensure the smooth functioning of the office environment;
  • Watering plants and ensuring they are well-maintained to enhance the office ambiance;
  • Loading and unloading the dishwasher, ensuring all dishes are cleaned and put away promptly;
  • Taking out the garbage and recycling regularly to maintain cleanliness and sanitation standards within the office space;
  • Mopping the floor if needed to maintain a clean and tidy workspace environment; and
  • Shredding documents once a week to ensure sensitive information is securely disposed of in accordance with company policies and privacy regulations.

Status:

Full Time

Hours:

35 hours per week on average, from 8am until 4:30pm, plus one-hour unpaid lunch.

Salary:

$47,320 – $50,000

Requirements

  • Proven experience as an Administrative Assistant or in a similar role;
  • Knowledge of office management systems and procedures;
  • High school diploma;
  • Additional qualifications as an Administrative Assistant will be an asset;
  • Strong organizational skills and attention to detail;
  • Ability to prioritize and multitask in a fast-paced environment;
  • Be able to work independently as well as in a team environment;
  • Excellent communication skills, both written and verbal;
  • Proficiency in Microsoft Office Suite and other office technology tools;
  • Familiarity with legal terminology and procedures is an asset; and
  • Ability to maintain confidentiality and handle sensitive information in a professional manner.
